How to configure Meeting Invitation to Outlook?

Hi All,

I have been trying to send Meeting Invitation to Outlook. I have created Email Template and import export map ( from Email Templates - ServiceNow Wiki ).I have been able to send an email with "not supported calendar message.ics" file attachment. When i open that attachment in notepad, the content is same as the template message.

I have used this code in Email Template.

In my Email Notification,type is Meeting Invitation.

When i check in Email log(outgoing mail), the body field is empty.

Can anyone tell where i am going wrong?

In the user profile for the recipient check calendar integration. It should be Outlook.

Hi Ashish,

I checked in user profile, Calendar Integration is Outlook only. But still not able to get Meeting Invite to Outlook. Email is sent with "not supported calendar message.ics" file attachment.

Can you give any other suggestions on this please?

Version of ServiceNow is Fuji and for Outlook 2010 v14.0.6029.1000.

Jennifer Larry - make sure you have the code in the MESSAGE TEXT, not in the HTML portion of the template. Also, make sure the option in the Email Notification is 'Plain Text Only' (the section where it says 'What it will contain'). I had the same issue and this was my resolution.

Hi Aakanksha,

These are the steps I followed:

1) Type sys_impex_map.list in navigation filter and map required fields.

2) Created email template by referring (Email Templates - ServiceNow Wiki).

3) Created email notification.

Make sure the type is "Meeting Invitation" and the option is "Plain Text Only" (the section where it says 'What it will contain').

When I faced the issue "not supported file attachment.ics", I deleted and re-created from the scratch for sending Invitation and it worked. Make sure to give different name from previous one.

Hi Dimitrov,

Now I'm able to send the meeting Invite . But the issue I'm facing is, it is taking the current system date and time in my meeting invite not the one which I entered in my record.

Below image shows the issue I'm facing.

In "when" portion of my invite, instead of current system date and time, I need to set it to custom date and time which I have in my record.

Any idea on how to resolve this issue??

Any help will be really appreciated.

I'd recommend heading back to the sys_impex_map table and looking there. The new record you added into this table needs to be name icalendar.your_table_name . Also ensure that the fields you are referencing for dtstart and dtend are date/time fields. Not just date fields.

And I would add to that - make sure you have the code in the 'Message' part of the template, not in the HTML area, as it would not work otherwise. Good luck!

But I have a question for you, I tried to modify, "organizer:mailto:" in the template. Meaning, I want to be the organizer for this meeting invitation. So, I set it as,

ORGANIZER:MAILTO:keerthana*******@***.com

but it didnt work,

I also tried,

ORGANIZER:MAILTO:${to}

this didn't work either. Can you please correct me?

I want to be the organizer of the meeting so that I can add more people if I want to after sending out this meeting invitation.

Hi Keerthana,

Just so I have a better grasp, you want to be listed as both the organizer and the attendee correct?

You might need to check off "Send to Event Creator" under the "Who will receive" tab of the notification if you haven't already. If doing that doesn't work, perhaps try adding your email address into the "From" field on the notification, and then using ORGANIZER:MAILTO:${from} to see if that works.

That's all I can think of at the moment.

Thank you so much for you reply.

I wanted to be listed as organizer. Being an attendee is optional. When I tried,

1.adding "FROM" field to be my email address, but for some reason, when I receive an email it shows that it is sent from "instance email".

2. Checking off "Send to Event Creator", I didn't receive any email. The email is not even captured in email logs.

Please help me to find where I went wrong.

I did a quick test in my personal instance where I set both the ORGANIZER:MAILTO: and the from field in the notification to a dummy email address, and I was able to see from the email log that the ORGANIZER:MAILTO is set to what I want it to be. Could you add a code snipped of what the email log is sending out so we can take a look at it?
