Hi Folks,

In ServiceNow, can two users update two different variable sets simultaneously before submitting the request on the Employee Center portal?

If anyone has any solution on it. Thank you in advanced!

Hi @Community Alums

Once a variable set is added to a catalog item, it becomes part of that item. Any number of users can then use the catalog item and update it. Is this what you’re looking for, or am I missing something?

No, the requirement is Person A is raising the request via catalog item and he/she can update first variable set with respective variables. Now, same item visible to person B to update second variable set and see first variable set with readonly access and update second one. But the request not yet submitted. So, it can possible or any solution that two users can update two differnt variable set simulteniously on same item before submit the request.

So you are showing same request to 2user? How you are doing this. As per ootb a user can't see other user requests

As of now i dont have any solution for this. I'm looking for the solution that can be possible or doable in servicenow.

out of the box this is not feasible.

there could be a hack to this

1) with User A ask that user to fill and click Save the Draft

2) when it's saved in Draft somehow try to update the user from User A to User B via script in this table "sc_cart_item". this table record has reference to "sc_cart" where the user info is saved so update that user

3) Ask user B to open the Draft from and he/she should see previous data and can fill variable set from their side

Then Submit with User B

Note: Remember the draft is saved only for some time. not sure how much but you can explore, within that timeframe User B has to view the draft and submit the item

Example: I changed the user from System Admin to Abel Tuter

Then Impersonated with Abel and saw the Draft version under My Requests and was able to submit

Hi @Community Alums ,

ServiceNow catalog items are designed for a single user to fill out and submit. Simultaneous editing causes data conflicts.

Two users cannot simultaneously edit the same catalog item form in a single session.

Probable Solution:

1) Let one user submit the form with one set of variables-> set a review task with other set of variables where other person can update those.

In that way , in a single record, two person can update the variable values

Thank you for the prompt rseponse. But the solution you given that will not fullfill my requirement beacuse by scripting i want to change user from "sc_cart" table but if any case user A want re-update that information in variable set then that can't be happend in this case beacuse now this cart with user B.

Also, if user B check the information in first variable set and found some mistake on it then how User B can route to User A again beacuse first update set is readonly for User B.

Do you have any solution for it. Your help will be highly appriciated.

Unfortunately there isn’t an out‑of‑the‑box way for multiple users to edit the same cart item simultaneously. To achieve your requirement, you need to break away from the single‑owner model:

Separate Cart Items per User

Instead of one cart with multiple variable sets, create two cart items (one per user).
Each cart item can have its own variable set, editable by its owner.
You can then link both cart items to the same parent request (via a custom field or relationship).

Custom Shared Form / Table

Build a custom table to hold the variable sets.
Allow multiple users to edit records in that table (via ACLs).
When the request is submitted, copy those values into the final request item.
This bypasses the cart ownership limitation.

Delegated Requesting

Use the Delegated Requester feature in ServiceNow (if enabled).
This allows one user to request on behalf of another, but it still doesn’t give true simultaneous editing — it’s sequential.

Custom Portal Widget

Build a Service Portal/Employee Center widget that renders both variable sets independently.
Save the values into a custom staging table.
