How to perform a change on an allocated resource

Hi all,

I can't figure out the correct way of how to perform a change correctly on an allocated resource, without messing up my cost-plans, planned and actual costs. This change on allocation is generally happens when either of the following two circumstances occur:

The (project)task the resource is assigned to appears to take shorter than expected (note: resource plan is for the set period in allocated state, for automatic creation of timecards) --> therefore the current resource plan needs to be changed:
- Planned end date of the resource plan needs to be changed to an earlier date e.g. ( was 25-11-16 now 15-11-16 )
- And, assigned hours needs to be changed ( was 100 hours for set period, now period is shorter and therefore only 75 hours need to be allocated )
The (project)task the resource is assigned to appears to take longer than expected
- Planned end date needs to be moved to a further date e.g. ( was 25-11-16 now 17-12-16 )
- This elongation of the resource causes an increase in hours that need to be allocated ( was 100 now 150 )

Options I have tested to perform wished changes:

Cancel the resourceplan and re-plan the resource for wished allocation.
- This doesn't work, all hard bookings change to soft over the whole duration of the resourceplan (also the one in the past),
- Information on actual hours used is lost, as well as financials are messed up
Messing around in the resource-workbench
- Not clear what happens when re-allocating with both financials and used hours

I would greatly appreciate your help. My overall goal is to: maintain information of the resource in the past (both hours and financially). And easily change a current resourceplan for another wished duration or the amount of hours.

Thanks for your reply! There are two financial aspects that I struggle with:

Allocated cost
- I cant seem to figure out why these don't go down after cancelling the resource-plan that is in need of change
Actuals
- Actuals vs planned

But more importantly my main issue regards "how to" perform a change in the project correctly. Im sorry for my bad explanation but i hope you understand my struggle!

Did you resolve your issue regarding this matter?

We are struggling with the same issue. It seems like once something is hard booked, it's very difficult to change allocations. To remove allocations, we would have to remove Resource Events day by day.

We are using Helsinki

Hi Mehdi,

We have a bespoke addition now to adjust allocated resources. However i think in Jakarta this will be possible by default!

Did you manage to find a platform/OOTB solution to your needs?

Have you considered shortening the current resource plan and then copying it to make a new one for the resource extension scenario?
