## Key Features

* **Time Entry and Approval:** Users with the timecarduser role can enter time on assigned tasks and submit time cards/time sheets for approval. Approvers review, approve, reject, or recall submissions for corrections.
* **Role-Based Access:** User managers with time card approver roles can log and submit time sheets for their resources. The timecardapprover role can exist independently or be included in projectmanager and resourcemanager roles.
* **Delegation:** Time card approvers can delegate approval responsibilities to others, although delegation cannot be limited to individual resources and delegated approvers cannot re-delegate.
* **Administration:** Time card admins manage time sheet policies, approve or reject by exception, and can edit or create time cards in Pending or Rejected states for any user.
* **Time Sheet Portal:** Provides a consolidated weekly view of assigned tasks to record and submit time efficiently.
* **Rate Types and Cost Management:** Supports creation of rate types for labor cost tracking and integrates with the Cost Management application when enabled.
* **Domain Separation Compliance:** Supports data isolation by domain, allowing control over user access and data visibility in multi-domain environments.
* **Project Assignment for Timecard Users:** Users with only the timecarduser role can be assigned to projects or tasks with read-only access, enabling time submission without project editing rights.

## Activation and Configuration

* The Time Card Management plugin (com.snc.timecard) must be activated to use the feature.
* Activation also enables the Performance Analytics content pack for project portfolio dashboards, which requires a separate Performance Analytics license.
* Time sheet policies define rules and approval workflows for time cards and time sheets.
* Reference qualifiers can be adjusted to control which users appear in assignment fields on project tasks.

## Benefits for ServiceNow Customers

* Streamlines time tracking and approval processes across multiple task types in ServiceNow.
* Facilitates accurate labor cost management when integrated with cost management features.
* Enables flexible role assignments and delegation to adapt to organizational approval workflows.
* Supports multi-domain organizations with domain-separated data access and process isolation.
* Improves productivity by consolidating time reporting in an intuitive Time Sheet Portal.
The Time Card Management feature
enables time card users such as task assignees to report and track their time for the assigned
tasks.

Watch this three-minute video to learn about setup of the time tracking feature, entering time and approvals.

Time Card Management works with the Task
table to record time worked on various task types, such as projects, incidents, problems, and
change requests.

With the Time Card Management
feature:

* The time card users can record the time worked on a task using [time cards](https://www.servicenow.com/docs/OX0dS8zr4nujA47A_22jzg "Time cards are used to record the time worked on a task by a task assignee.") and [time sheets](https://www.servicenow.com/docs/SP2Af3FEW3GRA~6v~j6B8g "A time sheet groups all the time cards for a user for the given week."). They can submit their time cards and time sheets for approval.
* Time cards and time sheets are routed for approval based on the Non-project time approver and Project time approver fields in the user time sheet policy. User managers with time card approver role can also log time and [submit the time sheet of their resources](https://www.servicenow.com/docs/rKkxuOYQD3VNSfsu5dgBKQ "As a user manager, you can log time and submit the time sheet of your resources.")
* The time card approvers can perform the following tasks:
  * Review and approve or reject the time cards in a submitted time sheet.
  * Recall the approved time sheets or time cards to return them to the users for corrections.
  * Use dashboards to view reports of time card and time sheet exceptions, and categorize time reported by the users.
  * Delegate another time card approver to process time sheets from your resources when you might not have time or will be unavailable. Note the following points for delegation:
    * You cannot delegate approval only for an individual resource.
    * The delegated time card approver cannot further delegate your time sheet approvals.

  {#time-card-management__ul_xdd_4mq_yhb}

  The project_manager and the resource_manager roles contain the timecard_approver role in the base system. However, the timecard_approver role can also be used independently without these roles.
* The time card admin can create and manage [time sheet policies](https://www.servicenow.com/docs/JPqdpkYnkZJXNIUSecVnwg#create-time-sheet-policy__time_sheet_policy_form), and can also approve or reject by exception and process the time sheets. Time card admin can also create or edit time cards of any users if the time cards are in Pending or Rejected state.

Note:
The [Time Card Management plugin](https://www.servicenow.com/docs/496m_0e_uq~nDTFsZRktZw "Administrators can activate the Time Card Management plugin (com.snc.time_card). The plugin also activates the Performance Analytics - Content Pack - Project Portfolio Suite Dashboards plugin (com.snc.pa.time_card). However, you need a Performance Analytics license to use the dashboards.") is required to use time cards. Some of the procedures require the project management feature, which activates time cards automatically. For more information, see [Project Management](https://www.servicenow.com/docs/access?context=c_ProjectApplicationOverview&version=zurich&pubname=zurich-it-business-management&ft:locale=en-US) (com.snc.financial_planning_pmo).

## Assign a time card user to a project or project task {#time-card-management__section_assign_timecard_user_task}

A user who has only the timecard_user role, and no project role such as it_project_user,
can be selected in the Assigned to field of a project or project
task. This behavior is intentional and lets the user submit time against the assigned task
from the Time Sheet Portal.

Being assigned to the record gives the time card user read-only access to it. The user
can't edit, close, or reassign the project or project task unless they also have a project
role such as it_project_user.
Note:
The Business Stakeholder role includes the timecard_user role. As a result, a user who has the Business Stakeholder role can also be selected in the Assigned to field of a project or project task, with the same read-only access. To stop time card users from appearing in the Assigned to field, override the reference qualifier on the Assigned to field of the project or project task table.

## Domain separation in Time Card
Management {#time-card-management__section_urg_5pm_vdb}

[Domain
separation](https://www.servicenow.com/docs/UCydJrcF0_dpR~Gqt0C17g "Domain separation is supported in Time Card. Domain separation enables you to separate data, processes, and administrative tasks into logical groupings called domains. You can control several aspects of this separation, including which users can see and access data.") provides complete data isolation for domain-specific users. Time card
Management is domain separation compliant at the Data only level.
