## Summary of Asset life-cycle automation

Asset life-cycle automation in ServiceNow streamlines the management of asset records from purchase through disposal, eliminating manual updates and enhancing data accuracy.
This automation covers asset requests, stock verification, purchase orders, transfers, and disposal processes, ensuring asset records and configuration items (CIs) are kept current throughout an asset's life cycle.

## Key Features

* **Automated workflows for asset procurement and transfer:** When an asset is requested, the system checks stock availability. If in stock, the asset transfer order workflow is triggered; if not, a purchase order workflow initiates. Both workflows automatically update asset and CI records upon completion.
* **Bulk stock orders:** You can create bulk orders specifying hardware models and quantities for stockrooms, simplifying inventory management.
* **Disposal order workflow:** Guides through five stages---planning, scheduling, verification, departure, and final confirmation---automatically creating successive tasks until disposal is complete, thus ensuring proper asset retirement.
* **Asset tasks for operational events:** Deploy, replace/swap, and retire tasks automatically update CI and asset records when executed via incidents, change requests, or field service work orders.
* **Automatic stockroom assignment:** Upon asset retirement or swap, the system populates the Stockroom field based on asset location and stockroom priorities, supporting accurate asset tracking.
* **Application-specific asset tasks:**
  * Incident Management: Update/Repair, Swap, Retire
  * Change Management: Deploy, Retire
  * Field Service Management: Deploy
* **Configurable enforcement of asset actions:** By default, asset actions are required to close incidents and change requests; however, system properties allow disabling this enforcement as needed.

## Key Outcomes

* Reduced manual effort and errors in asset record maintenance.
* Improved accuracy and timeliness of asset and CI information.
* Streamlined asset procurement, transfer, deployment, retirement, and disposal processes.
* Better asset lifecycle visibility and control through automated task workflows.
* Flexible configuration to align asset action validation with organizational policies.
Automate the update of your asset records throughout its life cycle and remove the
effort of manually maintaining asset accuracy.
Assets must be updated and tracked from the time they're purchased until they're disposed. The automation process starts from the time that you request an asset through determining if the asset is in stock or if it must be purchased. If it's in stock, then the asset is transferred through the transfer order workflow. If the asset must be bought, then the purchase order workflow is triggered. The automated workflows take away the need to update manually each asset record or the associated configuration item (CI). After the workflow is complete, the asset records or CIs are automatically updated.
Note:
The automated workflow isn't triggered for excluded assets. You must manually update your asset records or CIs for the excluded assets.

You can [create bulk stock orders](https://www.servicenow.com/docs/yNf0Wa_3zszi_ljvI7mr1A "Create an inventory stock order request so that you can order new hardware in bulk for your stockrooms. After your request is approved, the Hardware Stock Order flow takes you through the process of requesting, sourcing, and receiving your order.")
for hardware assets for your stockrooms. You can specify the model and the exact quantity you
need. After the item is procured or transferred, the workflow is complete.

You can also [create disposal orders](https://www.servicenow.com/docs/dpXqoHLw7OzHOFzaOsEcBw "Create a disposal order for hardware or consumable assets. You can create a disposal order for an asset reaching its end of life cycle or an asset that is no longer functional.") for hardware and consumable assets. This workflow guides you through five asset disposal tasks. These tasks involve the planning, scheduling, verification, departure,
and the final confirmation of the disposed assets. Closing a task completes the task and creates the next task in the workflow.

For example, Verify is the first task in the asset disposal workflow. After you complete and
close the Verify task, the Schedule pickup task is automatically created. This process continues
until you close all the tasks required for disposing the asset. For information, see [Hardware disposal order stages](https://www.servicenow.com/docs/OLdXbPTlQ7tp7rzAj3mwbg "A hardware disposal order goes through various stages in the disposal process before it’s completed. With each stage, the task that's associated with that stage changes too.").

## Asset tasks {#asset-lifecycle-automation__section_up1_svc_xkb}

Asset tasks are provided for deploy, replace or swap, or retirement operations for your
assets. These tasks automatically update the CI/asset record on the completion of these
operations.
If an asset is being deployed, replaced, or retired via an incident, change request or a field service work order, the CI/asset record is automatically updated along with the related records for the CI/asset. For example, you have a change ticket to retire a server. After the change is implemented, the Change Management application triggers the retire asset event. The retire task is triggered and updates the following:

* CI
* related asset record
* software allocations
* maintenance contracts
{#asset-lifecycle-automation__ul_rqd_4vg_dmb} The data accuracy is improved by reducing the need for manual intervention to update records.

When an asset is retired or swapped via an incident, the Stockroom field is populated based on the location of the asset. If there isn't any stockroom in the location of the asset, then the Stockroom
field isn't populated. However, if the asset location is supported by multiple stockrooms as part of service locations, then the Stockroom field is automatically populated with details of the supporting stockroom based on the
priority. For more details on service locations, see [Associate a stockroom with service locations](https://www.servicenow.com/docs/8Af2gZUnQuT0yuWqNMdT5g "Manage sourcing requests that consume from local stockrooms effectively by associating your stockroom with multiple service locations. Optimize your loaner asset workflow and automated asset tasks by serving multiple locations using a single stockroom.").
This table lists the asset tasks available in each application.{#asset-lifecycle-automation__table_z4y_rvb_zkb__entry__2}

| Application | Asset Tasks |
|-|-|
| Incident Management | * Update/Repair * Swap * Retire {#asset-lifecycle-automation__ul_q3v_pm2_jlb} Note: By default, asset action is required for closing incidents. If you don't want to enforce any asset action for the closure of an incident, you can set the value of the system property sn_hamp.enable_asset_action_validation_incident to false.
