## Summary of Continual Improvement Management reference

Continual Improvement Management (CIM) in ServiceNow enables organizations to systematically manage improvement initiatives aligned with strategic objectives.
It supports tracking improvements through defined states, assigning and managing CIM tasks, and obtaining necessary approvals to ensure improvements progress efficiently and effectively.

## Improvement States and Workflow

Improvements move through specific states that reflect their progress:

* **New:** Created manually or via integrated applications (e.g., Benchmarks, CMDB, Demand).
* **Accepted:** Validated alignment with company strategy by the Improvement Manager.
* **Assess:** Improvement details are set and await approval from an Approver group member.
* **Approved:** Approved and ready for implementation.
* **In Progress:** CIM tasks are created and executed; progress can be reviewed or placed on hold.
* **On Hold:** Improvement temporarily paused; active tasks are also placed on hold but can be manually adjusted.
* **Monitor/Review:** All tasks completed, improvement measured, and reviewed for closure.
* **Closed:** Improvement completed and recorded in the Closed Improvement Register.
* **Canceled:** Improvement rejected or stopped at any stage; associated tasks are canceled.

Control menu options like copying initiatives are available across states for flexibility.

## CIM Task Management

Each improvement comprises one or more CIM tasks assigned to owners responsible for execution. Task states include:

* **Pending:** Task added before or during approval; awaits approval to move to Open.
* **Open:** Task is ready for work after approval.
* **Work in Progress:** Task work has started.
* **Closed (Complete, Incomplete, Skipped):** Task is closed, with varying completion status.
* **On Hold:** Task paused; can be manually resumed.

Task states synchronize with the overall improvement state, especially when placed on hold or resumed.

## Approval Process

Improvements require approval from at least one member of the designated Approver Group to advance to implementation. Approvals are managed via the Approvers related list, and once approved, the improvement progresses without requiring unanimous consent, though other members can still provide their individual approval states. Additional approvers can be configured using the CIM Approval workflow in Flow Designer.

## Process Flow and Roles

* **Improvement Requester:** Initiates the improvement request.
* **Improvement Manager:** Validates alignment, assigns coordinators, accepts, and reviews improvements.
* **Improvement Coordinator:** Collaborates on preparing improvements for implementation and monitors progress.
* **Approver Group Members:** Assess and approve improvements.

The process involves submission, acceptance, assessment, approval, implementation, review, and closure, with options to place improvements on hold or cancel as necessary.

## Additional Features

* Integration with various ServiceNow applications allows seamless creation and updating of improvements and related records.
* Automated tests are provided to validate CIM functionality during development and after upgrades to ensure consistent operation.
* Installation of CIM includes tables, roles, and scheduled jobs required to support the improvement management lifecycle.

| State | Description |
|-|-|
| New | Improvement request is created either manually, or from within an integrated application by an Improvement Requester. Integrated applications include Benchmarks, CMDB, Coaching, Demand, GRC, Major Incident Management, Problem Management, and Survey Management. States list: * Accepted * Canceled {#cim-reference__ul_s5k_ych_2db} List Controls menu (![List icon]()) options on the Improvement Initiative form: Copy Initiative. |

| Canceled | Improvement is not accepted (Reject action is selected by the Improvement Manager), or can be canceled directly in any state. Note: Any CIM tasks created for the improvement are also canceled. List Controls menu (![List icon]()) options on the Improvement Initiative form: Copy Initiative. |
| Assess | All improvement attributes are set by the Improvement Manager, including business process, business service, and success measurement details. The improvement is waiting to be assessed by an Approver group member for approval. States list: * Approved(only shown for an Approver group member) * Canceled {#cim-reference__ul_xdt_v2h_2db} List Controls menu (![List icon]()) options on the Improvement Initiative form: * Copy Initiative * Revert to Accepted {#cim-reference__ul_xwr_ykw_l2b} |

## CIM task states {#cim-reference__section_lps_55c_cdb}

An improvement contains of one or more [CIM tasks](https://www.servicenow.com/docs/Cb8Q5OXpeEZUxJnXOtxI9Q "Create CIM phases and tasks to implement an approved improvement. The Improvement Coordinator works with the Improvement Manager to plan implementation and track progress.") to
complete the improvement. A CIM task is assigned to an owner to be responsible for the work
specified.

The state of a CIM task indicates the level of progress for the task.
{#cim-reference__table_mps_55c_cdb__entry__2}

| State | Description |
|-|-|
| Pending | State of a CIM task added before the improvement has been approved. If a CIM task is added after the improvement is approved, the CIM task is set to Pending state until the improvement is approved again. Once approved, the CIM task is set to Open state. If rejected, the CIM task remains in the Pending state. |
| Open | State of a new CIM task for an improvement that has been approved. |
| Work in Progress | State of a CIM task for which work has begun. |
| Closed Complete | State of a closed CIM task that has been completed. |
| Closed Incomplete | State of a closed CIM task that has been closed but not fully completed. |
| Closed Skipped | State of a closed CIM task for which no work has been done. |
| On Hold | State of a CIM task for an improvement set to On Hold state. The state of a CIM task on hold can be manually changed to Open or Work In Progress states. Note: When an improvement is placed on hold, all active CIM tasks (not closed or canceled) are also placed on hold, but the state can be changed manually. When the improvement is taken off hold, all active CIM tasks (not closed or canceled) are set to Open state (unless they were changed manually). |

## CIM approver states {#cim-reference__section_bpq_kpz_ycb}

Each improvement needs at least one [approval](https://www.servicenow.com/docs/access?context=r_Approvals&version=brazil&pubname=brazil-build-workflows&ft:locale=en-US) to progress to the
Implement state. The Approvers related list in the improvement contains a list of user
approval records and the state of the approval.

The users in the Approvers related list belong to the Approver Group
specified on the Improvement Initiative form. Once the improvement has been approved by an
Approver Group member, approval from other members is no longer required to progress the
improvement. However, other Approver Group members can still set their individual approval
state.

To require additional approvers, configure the CIM Approval workflow in [Flow Designer](https://www.servicenow.com/docs/access?context=flow-designer&version=brazil&pubname=brazil-application-development&ft:locale=en-US).
