Manage on-call shifts in Service Operations Workspace

  • Accept or reject absence requests, resolve gaps, and conflicts by providing coverage and scheduling extra time for an on-call shift in Service Operations Workspace.

    Before you begin

    Get an overview of how to manage shifts in this video.

    Role required: rota_manager, rota_admin

    Procedure

    1. Navigate to Workspaces > Service Operation Workspace.
    2. View all absence requests, gaps, and conflicts in a shift by selecting the schedules menu icon (Schedules menu icon.).
      All absence requests are displayed in the Required actions section.
    3. Select Approve or Reject and confirm the same when prompted.
    4. If there are gaps or conflicts, select the shift card and select the more options icon (More options icon.) or right-click a shift card.
    5. Select Provide coverage to replace a shift member and enter the following details.
      • Member: Name of the member
      • Start: Coverage start date
      • End: Coverage end date
      Provide coverage form used to schedule coverage.
    6. Schedule extra time by selecting the shift card and selecting the more options icon (More options icon.) or right-click a shift card.
    7. Work for extended hours by selecting Schedule extra time and providing the following details:
      • Start
      • End

    8. Remove the approved absence request from the calendar by right-clicking a shift card and selecting Delete absence.
