A few years ago, I responded to a community post with a quick breakdown of what a ServiceNow System Administrator does on a day to day basis.

 

That simple reply turned into a series.

 

This post continues that journey, focusing on the ServiceNow Technical Consultant role and what it actually looks like day to day.

 

This one is a little different. It is less about just the platform, and more about how the platform, the business, and delivery all come together.

 

Like the others, this is not meant to be a perfect definition. Every environment is different. This is just a reflection of what you may run into based on real delivery experience.

 

🎯 What Success Looks Like

A strong Technical Consultant is not measured by how much they build, but by how well things come together.

  • Requirements are clear and actionable
  • The right solution gets built, not just a solution
  • Teams stay aligned from start to finish
  • Delivery stays focused on outcomes, not just tasks
  • What gets delivered is something the customer can actually use

Over time, the role shifts from doing to guiding.

 

Morning: Align and Clarify

Most days start with alignment.

  • Reviewing stories and requirements
  • Checking in on progress or blockers
  • Clarifying what the business is actually asking for
  • Catching gaps before they turn into rework

A lot of the value here is making sure everyone is working toward the same outcome.

 

🧭 Working Through Requirements

This is where a big portion of the role lives.

  • Running or supporting workshops
  • Asking questions that uncover what is really needed
  • Breaking large ideas into smaller, buildable pieces
  • Working with product owners on backlog refinement

A lot of the time, what is written down is only part of the picture.

 

⚙️ Midday: Guide the Build

This is where you are working across the team.

  • Walking through design decisions with developers
  • Making sure solutions fit the platform, not just the requirement
  • Helping connect business intent to technical execution
  • Keeping work aligned with priorities and timelines

You may not always be the one building, but you are influencing what gets built every day.

 

🤝 Working Across Teams

This role touches almost every part of delivery.

  • Business stakeholders defining outcomes
  • Developers building the solution
  • Architects thinking long term
  • Admins who will support it later

A big part of the job is keeping these groups connected and moving in the same direction.

 

🔧 Afternoon: Review and Adjust

This is usually where things start coming together.

  • Reviewing what has been built
  • Identifying gaps between expectation and reality
  • Adjusting direction when needed
  • Preparing for demos or stakeholder walkthroughs

This is also where things surface that were not obvious earlier.

 

📊 What You Start Thinking About

At some point, your perspective changes.

You stop focusing on tasks and start focusing on outcomes.

  • Does this actually solve the problem?
  • Is this sustainable for the team?
  • Are we introducing complexity we do not need?

That shift is what really defines the role over time.

 

🔐 Security and Compliance (Especially in Federal and Public Sector)

In regulated environments, there is more to consider.

  • Decisions need to be clear and traceable
  • Solutions need to hold up over time
  • Requirements often tie back to compliance

It is not just about delivering something that works. It has to stand up to review.

 

🔄 Continuous Improvement Mindset

A lot of the role becomes about refining how things are done.

  • Improving how requirements are captured
  • Helping teams avoid repeated issues
  • Adjusting delivery approaches based on what works

You start to recognize patterns pretty quickly.

  • Treating requirements as final instead of a starting point
  • Not asking enough questions early
  • Letting scope drift without alignment
  • Disconnect between business and technical teams
  • Focusing on speed instead of the outcome

💡 If I Could Go Back (Advice to New Technical Consultants)

  • Ask more questions than you think you need to
  • Do not assume requirements are complete
  • Stay close to both the business and the platform
  • Build relationships early with your team
  • Your value is in guiding the right decisions, not just having answers

Appreciate anyone who takes the time to read this.
 
This role probably changed the most for me over time. Early on I thought it was about having answers. It turned out to be more about asking better questions.
