There's a conversation I've had with many SPM customers over the last year. The PMO pulls a report, half the projects look fine on paper, and everyone in the room knows that "looks fine on paper" and "actually fine" are two different things. Somewhere in that list: a project with no budget set, milestones that haven't moved since January, a scope description that still says "migration project."

Next month, the same report looks the same.

 

The real issue isn't discipline, it's the missing feedback loop:

 

Project managers who leave fields empty aren't doing it on purpose. They just never saw the downstream consequence. Nobody showed them which fields actually matter, why they matter right now, and what happens when they're missing. So the PMO compensates, manual quality reviews, offline spreadsheets, weekly emails chasing corrections that should have happened at the source. Reactive, time-consuming, doesn't scale.

 

What a well set-up project actually looks like:

 

Based on conversations with customers, a well set-up project is one where any stakeholder can open it and immediately answer six questions: what is this project and why was it approved, where does it stand against schedule, who is working on it, what is the financial position, is it being actively managed, and what risks are being tracked.

 

Charter, schedule, resources, financials, activity, risk coverage. When those are in good shape the project tells its own story. When they're not, the gaps compound in reviews, in handoffs, and increasingly in the AI-generated output PMs and stakeholders rely on. Good data is good for everyone regardless of AI. AI just makes the cost of bad data more visible than it's ever been.

 

What we're building:

 

We're closing that feedback loop inside the project workspace. Six areas of project completeness, one quality signal on the project form. When something is missing, the PM sees exactly which area, why it matters, and what to fix, specific and actionable, not a generic score.
