If you've recently started receiving automatic Project Insights emails, you may be wondering where they're coming from and how they're generated. If you're curious about how those got there or how to customize them to fit your organization's needs, this article covers everything you need to know.
What Are Project Insights Auto-Emails?
Starting with Zurich Patch 9 (ZP9) / Australia Patch 2 (AP2), Project Insights can now send automatic emails to keep you and your stakeholders updated on project health.
The feature is powered by Project Insights AI capabilities, which analyze your project data across multiple dimensions, such as tasks, milestones, resources, financials, RIDAC, and more, and send insights automatically rather than requiring manual reporting.

Admin Customization (ServiceNow Administrators)
ServiceNow administrators can customize which conditions are eligible for Project Insights Auto-Emails through Now Assist Admin.
How to Customize Email Conditions

Go to Now Assist Admin from the All menu.

Navigate to the Now Assist Skills tab.

In the left sidebar, select SPM (Strategic Portfolio Management).

Find the Project insights generation skill and click Edit Configuration.

Click Switch scope to enable editing.

Click Edit conditions.
-
A dialog box opens with the default conditions.
Default Conditions
By default, Project Insights Auto-Emails are sent for projects that match the following criteria:

Active = True
-
State = Work in Progress
-
Updated = On or after the configured date
Modify or Add Conditions
In the Edit conditions dialog, you can modify existing conditions or add new ones.
Modify Existing Conditions

Click any condition field to change its value.

Example: Change State from Work in Progress to Planning or Active.
Add New Conditions
-
Click + New condition set at the bottom.
-
Choose the field you want to filter on (for example, Priority, Category, Owner Group, or Budget).

Set the operator (is, contains, greater than, and so on).
-
Specify the desired value.
-
Use AND/OR logic to combine multiple conditions.
Example custom conditions:

Projects in the Enterprise category only.
-
Projects owned by specific departments.
-
Projects with a budget over $1M.
-
Projects updated within the last seven days.
Save Your Changes

Click Set to confirm your conditions.

Click Save and continue, then click Done to apply the changes.
Admin customizations take effect immediately for all future Project Insights Auto-Emails.
