This article is to understand, how #servicenow resource management provide value to customer. Lets consider some interesting use cases.

Resource reports -

“Where can i find resource resource reports that focus on resource availability, utilisation and allocations?”
Resource Reports

From the above screenshot, we can conclude

  • Capacity for month = Daily capacity * Number of working days
  • Requested : Resource request
  • Confirmed : Tentatively or soft booking
  • Allocated : Sure or hard booking
  • Availability = Capacity - (Requested+Confirmed+Allocated)

Benefits of using allocation details report

  • Resource management reports show resource allocation details in different formats for different time periods.
  • Easy to configure and use these reports according to your business requirements.
  • By clicking on graph, one can view related data artefacts.

 

Capacity Planning -

"Do we have enough resource for our upcoming projects?"

From the above screenshot, we can conclude

  • Resource Availability = Capacity - (Requested + Confirmed + Allocated) 

Benefits of using capacity planning report

  • Resource manager can use it to review resource capacity and existing allocations and then confirm resources to a demand or project
  • It helps resource manager to do resource forecast and display the total capacity trend for the resources
  • It also displays the heat map for the percentage of utilisation of resources allocations against requested hours. The heat map helps resource managers understand how committed utilisation would look, if resources are allocated. If utilisation is greater than 100%, resources are over allocated. The resource manager must ensure that percentage of utilisation of all resources is within 100%.

Benefits of using allocation workbench

  • It helps to manage your resources effectively. You can review all resource requests in one place for your team/organisation. You can also see the available hours for requested users and efficiently allocate resources.

On just one click resource Manager can you can perform the following tasks:

  • Edit the planned, confirmed, and allocated hours inline without opening the record in a form.
  • Request changes to submitted resource plans, or request an extension of an allocated resource plan.
  • Confirm or allocate resource plans to a project or demand.
  • Replace one user's allocation with another user
  • Shift allocations of a user to a future date
  • Move a resource plan and its allocations to a future date
  • Complete, delete, or cancel resource plans.

Bottom part of allocation workbench is Resource finder, which perform the following actions:

  • Search for resources and view their availability and utilisation. You can search resources by group, role, or user all from same screen
  • Add or confirm resource plans for the current resources.
  • Filter resources in the Resource Finder by available, over allocated, or all resources.

 

Calendars -

"Where can my resource block their time in advance? "

Benefits of using calendars

  • User can add & modify their planned work, actual work, operational work, administrative tasks and personal activities.
  • After a user update calendar event, indicating busy under resource availability.
  • User have an ability to add tasks, such as incidents to their calendar, even though if incident is not assigned to user.

Timesheets

"How can i track actual expense of resources?"

Benefits of using timesheets

  • The Time Card Management feature enables time card users such as task assignees to report and track their actual time for the assigned tasks.
  • Timecard hours is an input to calculate the actual expenses incurred.

 

Important tables used in above applications are

  • requested_allocation - All requested allocations
  • resource_allocation_daily: Individual allocation details
  • resource_aggregate_daily: Aggregate data for all resource allocations for a day
  • resource_aggregate_weekly: Aggregate data for all resource allocations for a week
  • resource_aggregate_monthly: Aggregate data for all resource allocations for a month

Hi Rajesh,

On which table we can pull the report for Resource Capacity/Availability? A particular user is allocated these many hours for this project. So that resource manager will have some visibility of the resource.

Hi Rajesh,

 

Thanks for your post. Please help me understand below scenario?

One of the users have the capacity of 7 x 5 = 35 hours a week. ( He is on a 7 hours a day schedule)

I have created a resource plan for this user and confirmed 40 hrs as Planned hours.  However the state cell is highlighted in orange (see the image ) instead showing the user as Over Allocated since he is on a 35 hour week.

Furthermore, the Resource report is working correctly and showing availability as -5 hours. Please see below.
