Capacity Planning on Portfolio Planning Workspace - Can't see already approved and allocated resourc

Hello all,

I’ve encountered a situation that I’d like to confirm is expected behavior or not.

 

In the Portfolio Planning Workspace, under the Capacity tab, I currently see all resource assignments displayed as “Estimate” for role/group. However, even when a resource assignment has already been approved and assigned to a specific user, it still shows as “Estimate” instead of reflecting its allocated status.

 

Is this the intended design of the Capacity tab?

 

From a client perspective, the expectation is slightly different. For example, imagine we have 4 projects planned for April next year, each requesting the same role. If one of those requests is already approved and allocated, resource managers would ideally want a clear distinction between:

  • Estimated demand (planned but not yet allocated)

  • Confirmed allocation (approved and assigned to a resource)

This separation would provide better visibility into the balance between forecasted demand and actual resource commitments.

 

Could you please share guidance or a recommended step-by-step approach for working with capacity planning correctly in this scenario?

I suspect the issue you're facing is that the Resource Assignment records still have a 'Resource Status' value of Pending.  This field has four choice:  Unassigned, Pending, Approved or Unapproved.   

If you're not using an approval workflow, so your Project Managers and other resource users are basically free to align whichever resources they want, then it's likely that this field could be automatically set to 'Approved' the moment there is a valid user aligned.  This might resolve this issue.  

To validate this, you could try looking at the Resource status field on the Resource Assignment records you're seeing.  If you can't see the Resource Status field, add it to the list view.  If they're all showing as 'Pending', try changing it to Approved, and see if that changes the view on the Capacity plan.
