Greetings SPM Community !
I'm looking to validate a pattern I am seeing around Demand Management intake.
I have experienced customers create BRDs (business requirement documents) , business cases, project charters, investment requests, or funding proposals outside ServiceNow (e.g., Word, SharePoint, Excel).
Once approved, a PMO analyst, BRM, or Demand Manager manually creates the Demand record in SPM by re-entering information from the document.
Please share
- If you (or your customers) also use the BRD, business case, or similar documents as part of the demand intake process?
- How common is manual re-entry of approved document information into SPM demand?
Your input will help in understanding how prevalent this requirement is across the customer base.

Yes, this is a pattern I have seen as well. In many organizations, BRDs, business cases, funding requests, and project charters are created and approved outside ServiceNow, using tools such as Word, Excel, or SharePoint.
After approval, the information is often manually re-entered into the SPM Demand record by a PMO, BRM, or Demand Manager. This creates duplicate effort and can also lead to inconsistencies between the approved document and the Demand record.
The amount of manual re-entry seems to depend on the maturity of the organization’s SPM intake process. Organizations with more integrated intake processes can reduce this duplication, while others continue to rely heavily on document-based approvals.
It would be interesting to hear how other customers are handling this and whether they have implemented integrations or automation to reduce manual re-entry.
