@ram109

I could see it's already activated

You can't update/deactivate that, it's OOTB behavior

OOTB change read only flows cannot be deactivated

Hi @ram109 x

As per KB : KB2574446 Unable to Reactivate Read-Only Flow After Deactivation

Issue

Out-of-the-box (OOTB) flows, such as “Change - Standard - Proposal,” are marked as read-only by default. If deactivated, these flows cannot be reactivated through standard methods.

This may cause confusion when attempting to re-enable the flow after accidental deactivation, as the "Activate" button becomes disabled and no immediate workaround is apparent.

Resolution

If an OOTB read-only flow was accidentally deactivated and the Activate button is now disabled, follow these options to proceed:

Option 1: Use an Existing Active Workflow

  • If another version of the same flow exists and is active/published, use that instead.
  • Ensure no duplicate processes are triggered by having multiple active versions of the flow.

Option 2: Create a Copy of the Flow

  1. Navigate to Process Automation > Workflow Studio.
  2. Locate the original flow (e.g., “Change - Standard - Proposal”).
  3. Create a copy of the flow.
  4. In the copied version, activate or deactivate as needed and modify the flow if necessary.

This approach allows you to retain the core logic of the original flow while regaining edit and activation capabilities.

Additional Guidance

  • OOTB flows marked as read-only are intentionally protected to preserve default platform behavior.
  • Deactivation is permanent through the standard UI for such flows.
  • A copied version offers the most flexible path forward, especially for custom needs.

I have got an requiremnt to add one approval condition to this flow. Can i add it or not?

@ram109

no you can't

You will have to make a copy of that OOTB flow and then add your logic

As per KB you will have to raise case with ServiceNow to deactivate that OOTB flow so that your new one is used
