By using the template designer in Smart Assessment Engine, you can easily create assessment templates and add instructions, questions, and reference information to an assessment template.
- Add instructions and questions to an assessment template: SAE supports the most commonly used question types such as radio buttons, check boxes, drop-down lists, and more. Smart assessments are highly customizable so that you can do the
following tasks:
- Organize questions into sections and subsections for clarity.
- Add instructions to help the assessors understand the context and requirements of each question to improve the accuracy and relevance of the responses.
- Configure the question guidance texts to help the assessors answer questions.
- Configure the questions to appear or hide depending on the assessor's previous answers.
- Integrate the response justification prompts that provide the assessors with the explanations that are based on their selected responses.
- Require the assessors to attach the supporting documents like contracts, permits, or invoices that are based on the responses.
- Add reference information to an assessment template: Incorporate the live data from the Assessment Scope as reference information to help ensure that the assessors have
immediate access to the necessary information while they’re responding to the assessments. This live data minimizes the need for external references.
- Create an assessment template category: Create a template category as a container of related assessment templates. By creating an assessment template
category, you can help to ensure that only authorized personnel can access and change the template.
- Respond to assessments
- Navigate through the assessments more efficiently by using a progress indicator that shows how much of the assessment is completed. The questions are paginated to help you more easily navigate the assessment. Your work is
automatically saved, which eliminates the need for manual saving and helps to prevent data loss. You also have the option to reassign in-progress assessments to another user or cancel assessments that are no longer
needed.
- Trigger assessments
- Initiate an assessment by using the Trigger Smart Assessment flow action that is based on a published assessment template. You can assign an assessment to a designated assessor with a defined scope and deadline.
- Combine multiple assessments into a single, unified submission
- Combine multiple assigned assessments into a single, streamlined view. You can efficiently manage, submit, or reassign these combined assessments at one time. You can use features, like Bulk Submit or Bulk Reassign, to
handle all assessments in one action.
- Domain-separated Deployment
- Domain separation in the Smart Assessment Engine is supported starting with the Xanadu release, enabling data, processes, and administrative tasks to be organized into distinct domains. Within this framework, templates are separated by a process, while assessments are separated
by data, helping to ensure controlled access and visibility according to the domain.
- Migrate legacy assessment metric types to Smart assessment templates
- Migrate existing assessment designs from the ServiceNow®
Assessments and Surveys application. Your templates are automatically transferred as drafts with just one click. After you migrate the designs, you must review and publish these drafts, and confirm the results.
The sets of questions in the Assessments and Surveys application are saved as metric types. When migrated, these metric types are saved as question types. Custom, Duration, Image scale, Percentage, Rankings, and Ratings question types aren’t
supported for migration.

- Copy an assessment template
- Create a copy of an existing smart assessment template, including all questions, sections, and existing configurations. This feature enables you to duplicate a fully configured assessment, so you don't need to recreate the
content. You can then customize the copied template to fit new requirements or scenarios.
- Filter unanswered questions
- Filter questions in the assessments to display only unanswered questions, helping you focus on the remaining questions.
- Use template designer
- Search for text within assessment sections, subsections, or questions, enabling you to locate specific information or keywords. This feature enhances navigation and enables you to find relevant content without manually
scrolling through the entire assessment.
- Auto-copy responses to all templates
- Replicate your responses across all applicable assessments while combining assessments by enabling the auto-copy feature. It saves time and effort by copying your answers consistently without the need for manual
repetition.
- Automate responses
- Set up automatic responses for questions to enable assessors to complete assessments efficiently. You can either create default responses for all question types or define a script to fetch and map the values or data to
responses.
- Assessment scoring and analysis
- Calculate meaningful scores for assessment responses at the assessment, section, or subsection levels. These scores can then be used for reporting.
- Post-assessment automation
- Automate actions based on assessment responses. Template designers can predefine actions using a rule engine, such as updating fields, creating follow-up assessments, or generating other records.
- Descriptive images in assessment questions
- Attach descriptive images in the guidance section of the assessment questions. This means that template managers can include helpful visuals to assist respondents, making the instructions clearer and easier to
understand.

- Collaboration in assessments
- Enhance assessments with the new collaboration feature, enabling owners to add multiple contributors to work together in real time. This update enables assessors to collaborate efficiently by adding several contributors to
an assessment. Real-time updates reflect each contributor's changes, and presence indicators show who is present on the assessment.
- Normalization in assessments
- Adjust assessment scores to a common scale to promote fair comparison and prioritization. This normalization process helps standardize these measurements, enabling different metrics or scores to be evaluated on the same
scale.
- Creating code questions
- Capture data quickly and accurately from physical documents using a new barcode and QR code question type for assessments. By scanning barcodes or entering QR codes, the system can instantly retrieve and input relevant
information.
- Creating an assessment template from legacy metric types
- Migrate question dependencies with an improved migration utility, which now supports the check box question type and conditional visibility criteria defined on templates.
- Combining assessments and copying responses
- Combine assessments from different templates into a single, streamlined view. Eliminating the need to open each assessment separately, preserving context, and improving efficiency.

- Starting with version 22.3.5, responders can use AI Response Assist to draft answers to assessment questions and auto-apply the top suggestion — drawing from multiple sources with citations instead of starting from scratch.
- Previous assessments: Reuse answers from past SAE and classic assessments, eliminating re-entry across annual refreshes, new regulations, and recurring questionnaires.
- Documents: Generate answers from documents attached to the assessment or pulled from a document management system (DMS). Responders can upload or select PDF, Word, and image (up to 5 documents, 200 pages each),
preview the document, and trace each answer to a source snippet within the original document.
Responders choose suggestion only mode (review each suggestion with Apply or Discard) or Auto-apply mode (the top suggestion is applied to each question automatically). Either way, responders can edit any answer before
submission.
- Embedded assessments
- Starting with version 22.3.X, bring assessments directly into the parent workflow. Embedded assessments run inside host record pages, playbooks, and workflow, letting respondents complete their work without leaving the
parent context. Configuration is per template category and doesn't require code change. Embedded assessments inherit read access from the parent record—only users with read access to the parent record can read the embedded
assessment.
- Template versioning
- Starting with version 22.3.X, update published assessment templates without copying and deprecating the original. When a template manager publishes a new version, the prior version is automatically retired and future
assessments use the new version. Template versioning preserves auditability for in-flight assessments while letting template managers publish new versions to reflect corrections, regulatory changes, or annual content refreshes.
- A version-info bar on every published template shows the current version and exposes a create new version action that returns the template to Draft.
- A full version history view captures who created each version, when, and which prior version it was branched from.
- A new Delete template version action is available from the version actions menu.
- SAE Enhancements
- These SAE enhancements are available in version 22.3.X and later:
- Flag individual questions that need attention with a single click. Flags move through three states—Flagged, Resolved, and Unflagged—and every transition is captured in the assessment activity log.
- Add comments at the question level so responders, reviewers, and collaborators can resolve clarifications inline instead of relying on email or external tools. A new Work Notes tab next to the Comments tab provides a
separate, role-gated conversation for reviewers or administrators.
- Hide conditional questions that don't meet their visibility criteria so responders see only the questions relevant to them, eliminating Skipped clutter and reducing assessment fatigue.
- Scroll continuously through questions within a section or sub-section instead of paginating, giving responders an uninterrupted answer flow.
- Apply multiple filters at once on the question list (for example, Unanswered + Flagged + With comments) to focus on exactly the questions that need
attention.
- View scope item fields directly in the assessment task list so reviewers and assignees can see scope context without opening each assessment.
- Programmatically create a combined assessment from multiple assessment IDs using any custom logic, removing the need for manual combine actions. For example, combine all control attestations belonging to an entity group
into a single assessment.

- Collaboration in assessments
- Starting with version 22.3.X, use granular delegation as a primary owner to assign individual assessment sections to SMEs. Respondents can view the entire assessment for context but can edit only their assigned sections.
Monitor overall assessment progress and maintain final review and submission capabilities.
- Quick edit for published templates
- Starting with version 22.3.X, edit published templates inline as a template manager, including edits to the titles, descriptions, and reader roles.
