Hi @Bhagyashree Pan ,

Hope you are doing great.

There could be several reasons for this behavior. Let's explore some potential causes and solutions:

  1. User Group Visibility:

    • Verify that the user groups in question are active and not hidden from search results.
    • As a ServiceNow administrator, navigate to User Administration > User Groups and ensure that the "Visible" checkbox is selected for the user groups that are not appearing in the global search.
  2. Access Control:

    • Confirm that the users who cannot see certain user groups in the global search have the necessary access permissions.
    • Review the access controls and roles assigned to those users to ensure they have read access to the user groups in question.
    • Check if there are any exclusionary conditions or ACLs (Access Control Lists) restricting the visibility of certain user groups.
  3. Search Source Configuration:

    • Check the configuration of the search source used for global search.
    • As a ServiceNow administrator, navigate to System UI > Search Sources and locate the search source used for global search.
    • Ensure that the search source includes the user groups table and relevant fields in its configuration.
    • Review the search fields, filters, and conditions applied in the search source to verify that they include the user groups you expect to see in the global search results.
  4. Reindex the User Groups:

    • It's possible that the search index needs to be updated to include the user groups that are not appearing in the global search results.
    • As a ServiceNow administrator, navigate to Full Text Indexes and locate the index associated with user groups. Then, select "Rebuild All" to trigger the reindexing process.
  5. Check User Preferences:

    • Verify if the users who are unable to see certain user groups have any personalized search settings or preferences that may exclude those groups from their search results.
    • Instruct the users to check their search preferences and ensure they are not unintentionally excluding the user groups.

If the issue persists after performing these checks and adjustments, I recommend reaching out to ServiceNow support.

People & places Groups , this field is not visible for many users when I'm searching them in global search

Hi @Bhagyashree Pan

Global search does not show all user groups. It is limited to the user groups that are visible to the user. To view all user groups, users must have the “view all user groups” privilege. If the user does not have the “view all user groups” privilege, then the user will not be able to see all user groups in the global search.

If my answer resolved your issue please don't forget to mark correct or helpful.

Hi Devendra,

For some users, I can see their all associated groups. but when i'm searching myself in global search,  couldn't see my groups under "People & Places Groups"
