Hi Experts,
We have a requirement to manage around 100 document templates across various Employee Relations processes.
Currently, we use PDF templates and HTML documents where editability is required. However, even small changes to a document can require all fields to be mapped again, making maintenance difficult.
Is there a ServiceNow best-practice approach for managing this requirement at scale? Would using a third-party solution such as DocuSign be worth considering?
Would appreciate your recommendations.

Hi @Tabassum22 ,
Recommendations :
1. Migrate HTML documents to Native HTML Document Templates: This solves your immediate pain point. Changes to the text can be made instantly in the rich text editor without breaking your data mappings.
2. Stick to Native for Internal-Only Workflows: If these 100 templates are strictly handled between internal employees and Employee Relations agents, native ServiceNow templates will give you the lowest maintenance overhead and best data security.
3. Adopt DocuSign Only for Specific Edge Cases: Consider integrating DocuSign via the ServiceNow Store Spoke only if you have strict legal/regulatory compliance requirements for advanced digital signatures, or if external third parties (like outside legal counsel or non-employees) need to sign the documents.

Hi @SupriyaWaghmode,
Thanks for your response. We considered HTML document templates, but our requirement is to auto-populate employee data where available and make any missing fields mandatory for the user to complete. We currently achieve this through fillable PDF field mapping. Is there a recommended way to achieve the same behaviour using native HTML document templates?

Hi @Tabassum22 ,
You can try this approach
- Template Creation: You design the 100 templates in the HTML Document Template editor. You insert system variables for known data (like Name, Manager, Department). For missing or custom data (like "Reason for Leave" or "Target Return Date"), you insert Participant Variables.
- Task Generation: When an Employee Relations case is opened, an HR Task of type "Sign Document" is triggered.
- The User Experience:
- The employee opens the task in the Employee Service Center (ESC).
- They see the document with their known data already filled in.
- The missing fields appear as empty, mandatory form inputs embedded right within or alongside the document.
- The platform prevents them from signing or completing the task until those mandatory fields are filled.
