You can now retire an instance straight from a Service Catalog while having a capability to schedule the instance retire process.
At ServiceNow, we are committed towards a pleasant Customer Experience and we understand that as a ServiceNow customer, you would like to have more self-service capabilities in your hand. One way we try to empower you is through our Service Catalog. Service Catalog on Now Support (HI) has many items for you to request spanning from instance management to general access.
Note: Service Catalogs are security trimmed. Number of items visible to you are dependent on your role in Now Support (HI).
Overview of the Now Support Service Catalog
When you access the Service Catalog, you can shop for key tasks and activities to perform on your instance. Simply make your choice, and our automated workflow will take care of the rest. Use the Now Support Service Catalog to request certain plugins, rename your instance, perform a zBoot, and more.
Retire a Production or non-production instance using Service Catalog
You requested an instance to be retired via Service Catalog on Now Support (HI) and later changed your mind to either Cancel or Reschedule the instance retire process?
You want to retire an instance after a week and realized that instance retire process started as soon you submitted the request via Catalog?
You used to have to open a case with ServiceNow Technical Support for the help. This process can take some time. We recognize your ability to retire your instance doesn't need involvement from a Technical Support and you need to have a flexibility to Cancel or Reschedule as per your need.
Keeping self-service in mind, we have recently added a new feature on Retire an Instance Catalog which now allows you to schedule the change on your desired date and also gives you ability to Cancel or Reschedule anytime you wish (Before Planned Start Date).
To get to the catalog item:
- Log in to Now Support (HI)
- Click "Service Catalog" on the left navigation
- Select "Instance Management" in the Catalog Menu
- Click the "Retire an Instance" tile
- Choose the instance
- Select the date and time from the calendar control when the instance should be retired
- If you have selected a Production Instance, you will receive an alert message
- Click OK to proceed or Cancel to select different instance
- Click on Submit
- A new change request is created for the Instance Retire, and the request is displayed automatically.
- Add people to the Watch list as necessary and click Save
- If you wish to Cancel or Reschedule the instance retire, click on the respective button on the Change Form

The four-step process makes it easy for a requestor to rename their ServiceNow instance without having to wait for response from a support engineer.
Notes

- This catalog is available for all Customer and Partner Administrators only.
- All instances will be Suspended on requested date and will be in suspended state for 30 days before being marked as Retired.
- The change window for the instance retire will appear on the change ticket as the planned start and end time.
- Beginning at the Planned Start Time the instance suspend process will start.
- You have an option to Cancel or Reschedule instance retire request before the planned start date of Change only and the buttons will not visible once the planned start date is reached.
- If you are looking to retire an instance which belongs to any of the child company, you should use the option “Switch Company” before submitting Instance Retire form.
