In the last post on Event Organizer, I set up a basic Hackathon event. This time, I'm going to take a look at the email invites, replying and what things look like from a invitees perspective.
Following the publishing of my Hackathon event [add link], the invite notification is triggered, along with a calendar invitation.
A little while later I moved the date of the event, and without any more intervention - a new set of invites is sent out and the calendar invite I had previously for the old date is gone, replaced with a new one from the new date.
Next, I'll add another attendee. One with an email address matching my own (so I can actually reply with the right address, mimicking a more realistic scenario):
I receive a new email in my mailbox with a fresh invite to the event, and this time I accept the invite in Outlook. A few minutes later, I can see in the list of attendees, an acceptance from the user relating to my ServiceNow email address:
Let's run forwards in time to the point where the event happened. I enjoyed my day, but I remember there were a few links and documents that were shared during it - as well as a picture of that hilarious longest drive break-out session when one of the attendees sliced the ball so badly it hit a nearby tree and rolled right back to his feet…
We can still check the link in our calendar or the site we bookmarked to get to the event details and resources added by the event admins:
It's really quite straightforward and clean to use. Obviously for all the notifications, RSVPs, etc, to work fully you do have to have a sys_user record for all the guests you want to invite. That's obviously not an issue for internal events, but does require some additional setup and careful thought for externals.
In addition to the basic setup and usage I've walked through in these posts, it is also possible to prettify and customize the notifications for each event, require full registration for an event and customize the registration form, copy events; useful when running something periodically.
All in all, a really useful little application and well worth a look.
