Hello Everyone,
We would like to seek clarification regarding the management of Now Learning and WebAssessor accounts, specifically in relation to certification ownership, visibility, and exam access when changing organizations in the future.
Background:
Initially, we had one personal Now Learning account and one personal WebAssessor account, under which CSA and other certifications were completed.
After joining our current organization, we were provided with organization-associated Now Learning and WebAssessor accounts.
As per the organization’s requirement, all certifications needed to be visible under the Organization Portal. Accordingly, we requested and completed the transfer of certifications from our personal Now Learning/WebAssessor accounts to the organization-associated accounts.
Post transfer, we ended up with:
- Two Now Learning logins (one personal and one organization-associated)
- Two WebAssessor logins
To avoid duplication, we raised a support ticket requesting consolidation. As a result:
- We currently have two Now Learning accounts (personal + organization)
- We now have only one WebAssessor account, which is associated with the organization
- We no longer have access to a personal WebAssessor account
Concern / Queries:
In the event of a future organization change, we would like to understand:
- How certifications can be retained under our personal profile
- How the same certifications can also be made visible under the new organization’s portal, if required
- Whether the absence of a personal WebAssessor account could create challenges in certification ownership or portability in the future
Additionally, we would like clarification on the following scenario:
If certifications are transferred from the organization-associated account to a personal email ID (e.g., Gmail), how can we continue to register for and take mainline certification exams sponsored or managed through a company account? Specifically, we would like to understand the recommended approach to ensure continued access to organization-provided exam benefits while maintaining certifications under a personal profile.
We want to ensure that certifications remain personally owned, while still being appropriately associated with the organization during employment.
Request your guidance on the recommended best practices for managing Now Learning and WebAssessor accounts in such scenarios.
Thank you for your support.

Hi @mania
Great question, and I appreciate the way you explained it. Let me share my thoughts on this:
-
If you log in to Now Learning using your personal ID, you will not receive the free certification benefits because your ID is not linked to the Partner Portal.
-
To avoid this, organizations recommend linking your official ID with Now Learning. This ensures that whenever you appear for an exam, it is reflected under the organization’s banner and added to the organization’s records.
-
The WebAssessor concept is no longer used. With the introduction of the new exam provider, Pearson VUE, everything—Now Learning access and exams—must now be linked to a single ID, which should be your official ID.
-
You can still access Now Learning using your personal ID, but as mentioned, you will not receive any free certification benefits.
Concern / Queries:
In the event of a future organization change, we would like to understand:
- How certifications can be retained under our personal profile
- --> Now, you can no longer keep certifications under a personal profile. All certifications are linked only to your official ID. When you switch or change jobs, you need to migrate your certifications to the new organization’s ID. If you are no longer working with a partner company in the future, you can request to migrate your certifications back to your personal ID.
- How the same certifications can also be made visible under the new organization’s portal, if required
- --> That is not possible because once you migrate all certifications to the new ID, they can be viewed in only one place.
- Whether the absence of a personal WebAssessor account could create challenges in certification ownership or portability in the future
- --> Web assessor concept is over so no need to worry on this mate.
Additionally, we would like clarification on the following scenario:
If certifications are transferred from the organization-associated account to a personal email ID (e.g., Gmail), how can we continue to register for and take mainline certification exams sponsored or managed through a company account?
-->
That is not possible. In the background, every partner receives certain training benefits from ServiceNow based on their contract, and these benefits are passed on to employees. The organization first adds you to their Partner Portal, and only then do you receive those benefits.
So, once you move all your certifications to a personal ID, you will need to pay for every exam or course, as per the applicable fees.
Specifically, we would like to understand the recommended approach to ensure continued access to organization-provided exam benefits while maintaining certifications under a personal profile.
--> As above.
We want to ensure that certifications remain personally owned, while still being appropriately associated with the organization during employment.
-->, Not a best practice nor a possible case friend.
