Display recurring meetings, holidays, and freeze periods in one Change Management calendar

Hi Community,

I am exploring an OOB-first solution for a Change Management calendar.

The requirement is to display the following items in a single calendar with day, week, and month views:

  • Two different types of recurring Change Management meetings
  • Public holidays
  • A year-end change freeze window

The recurring meetings are currently configured through CAB Definitions and are successfully displayed in the OOB CAB Calendar.

The expected behavior is:

  1. Both recurring meeting types should appear in the calendar.
  2. Public holidays should appear as all-day calendar events.
  3. The year-end freeze should appear as a multi-day calendar event.
  4. If a public holiday falls on a scheduled meeting date, the meeting occurrence should be excluded for that date.
  5. Meeting occurrences that fall within the freeze period should also be excluded.
  6. Holidays and freeze periods should not be created as CAB Meeting records.
  7. Creating a custom table should be avoided.

My understanding is that CAB meeting occurrences and schedule entries are stored separately. Therefore, holidays and blackout schedule entries do not automatically appear in the existing CAB Calendar.

Could you please advise on the following?

  1. Can an OOB holiday or exclusion schedule be associated with a CAB Definition to prevent meeting occurrences from being generated on excluded dates?
  2. Can OOB blackout schedules be used to exclude CAB meeting occurrences during a freeze period?
  3. Is there an OOB calendar that can display CAB meetings, holiday schedules, and blackout windows together?
  4. Can the existing CAB Calendar be configured to consume multiple OOB data sources?
  5. If UI customization is required, what would be the most upgrade-safe approach without introducing a custom table?
  6. Would the OOB Change Calendar be more appropriate for this requirement?

The preferred approach is to retain the appropriate OOB data model:

CAB Definitions and CAB Meetings
- Recurring governance meetings

Schedules and Schedule Entries
- Public holidays

Blackout Schedules
- Change freeze periods

The proposed solution should avoid:

  • Creating a custom table
  • Representing holidays as CAB meetings
  • Representing freeze periods as CAB meetings
  • Creating Change Requests only for calendar visibility

Any guidance, implementation references, or similar use cases would be appreciated.

Thanks!
