Is there a way to archive VTB cards on a guided or flexible board

Hi All,

I have found many comments around archiving VTB cards but they all suggest it's only possible on Freeform boards.

My question is; Is there a way of archiving cards on other types of VTB's (Flexible or Guided)??

If there isn't has anyone used another method of removing cards periodically from a particular lane on a VTB so it doesn't fill up to monstrous proportions??

Any help much appreciated.

Hi Steve

Not sure archiving is the key there but you can create a data retention routine to archive the tasks from the system in general but it's probably not wise on a weekly basis.

 

However you could go to the Visual Task Board area open the board record in the navigator and add a filter condition with an "or" condition of state is closed complete && closed closed before last week or whatever you want in terms of date?

I guess the obvious question is why are they filling up? Are you showing the inactive ones as well as the active?

If I took the example of a guided board based on state then if stuff is hanging around in the middle it's because the task isn't being progressed. Once it reaches an inactive state whatever your closed states are, 3,4 and 7 I would guess you wouldn't want those on a board.

However if the board is meant to show active tasks and you are showing active tasks that are just not being progressed and have got old then maybe its more of a process and data issue than the board?

Hi Scott,

Thanks for the prompt response.

For example;

I have a flexible board that is data driven by Private (vtb) Tasks and the lanes are the Task states.

Of those state driven lanes i am only using Open / WIP / Closed Complete.

When an assignee has done the task they will move the card into the Closed Complete lane and that is the lane that will fill up.

Can these be archived on say a weekly basis??

Then put the condition in to rule out closed complete in the first one. But basically use the condition builder
