Introducing the Project Data Quality Index
Now available in ServiceNow Strategic Portfolio Management (Brazil Patch 1 / Australia Patch 7 and above). This new quality scoring feature monitors your project data and identifies gaps before they silently degrade your AI-powered insights, reports, and decisions. See your data quality in real-time, and fix it with AI-guided tips.
Why It Matters: The Silent Failure Problem
Here's a hard truth: bad project data breaks everything downstream.
Your project managers invest hours each week entering schedules, budgets, and resource plans. Then the data goes stale. Key fields never get filled in the first place. Your AI features run on incomplete information and generate generic or incomplete output and nobody knows why.
The root cause isn't the AI model. It's the input data.
What Makes It Special
Automatic Scoring: The system scores your project data against 20 industry-validated rules across 6 dimensions, Project Charter, Schedule & Milestones, Resources & Team, Scope & Financials, Reporting & Activity, and RIDAC coverage. You see your score as a 1–5 star badge.
Dimension-Specific Breakdown: Not a vague overall score. Click through and see exactly which dimension is failing, which specific rules aren't met, and why it matters.
AI-Generated Improvement Tips: For each failing rule, the system generates a plain-language fix describing:
- What to do (e.g., "Set a planned budget")
- Why it matters (which AI features unlock when you fix it)
- Where to go (direct link to the field)
Incentive-Driven: Each tip is tied to a real, visible downstream AI feature—Project Insights, Executive Summary, Status Report Generation, Ask Otto. PMs see the value immediately.
On-Demand Scoring: You control when the score is calculated. Generate your initial score, fix gaps, regenerate to see improvement.
Configurability: Admins can turn rules on/off, adjust staleness thresholds.
The 6 Dimensions at a Glance
| Dimension | Weight | What Gets Scored | Example Rules |
|---|---|---|---|
| Project Charter | 20% | Name, description, business case, investment type/class, scope | "Is your project name at least 10 characters?" "Does your scope description have at least 10 words?" |
| Schedule & Milestones | 20% | Milestone updates, baseline, ownership, PM assignment | "Have milestones been updated in the last 30 days?" "Is a project manager assigned?" |
| Resources & Team | 20% | Named resources, stale approvals, contractor dates | "Do you have named resources with future assignments?" "Are stale unapproved assignments resolved?" |
| Scope & Financials | 20% | Approved budget, cost tracking, labor plan, benefit plan | "Is there an approved budget?" "Is actual cost being tracked?" |
| Reporting & Activity | 15% | Status reports, record maintenance, notes/comments | "Have status reports been filed in the last 30 days?" "Is the project record actively maintained?" |
| RIDAC Coverage | 5% | At least one risk/issue/decision/action/change request | "Do you have at least one RIDAC item logged?" |
Who Benefits
Project Managers: See immediately where your data is incomplete. Get specific, actionable fixes. Watch your score improve as you fill gaps. Know exactly which AI features will get better when you fix the data.
Portfolio Managers: Identify which projects in your portfolio have poor data quality. Prioritize which ones need attention. Over time, track how many projects move from "poor" to "good" data health.
PMOs: Replace manual monthly quality reports with an always-on, in-app system. Focus on coaching instead of chasing. See which projects are slipping before stakeholders ask for status.
AI Features: Get cleaner input data. Produce more specific, actionable output. Stop generating generic summaries when the underlying project data is sparse.
