Project Workspace in Strategic Portfolio Management

 

ServiceNow’s Project Workspace is a project management application that is part of Strategic Portfolio Management (SPM). It brings planning, resourcing, financials, risk tracking, and reporting into a single, connected workspace, so the picture everyone is working from is always up to date. 

 

Who Is Project Workspace For? 

Project Workspace is built for the people who sit at different points of the project delivery chain, each with distinct needs, but all working within the same workspace.

You can also manage sub-projects nested within a parent, create cross-project task dependencies so that upstream delays surface automatically, and roll up financials across a program's hierarchy.

How Project Management Comes to Life in Project Workspace?

Below is general Project Management lifecycle and which tab within the Project Workspace maps to it.

Initiate: from idea to active project  <--> Details Tab

The Details tab is where a project takes shape — scope, planned dates, phase, financial parameters, and team access. For teams that need structured stage progression, playbooks provide either a free-form or gate-controlled framework configured directly in Workflow Studio. 

 

Plan: building the schedule <--> Planning Tab

The Planning tab brings together WBS, Gantt, milestones, and task dependencies in one view. Dependencies can be created within a project or across different projects — useful for program-level planning where a slip in one project should immediately surface its downstream impact. 

 

Resource: matching people to work <--> Resource Tab

The Resources tab supports attribute-based assignments — matching work to a role or skill rather than a named individual from the start. The heat map view shows availability color-coded by allocation level, making over-allocation visible before it becomes a delivery problem. 

 

Financials: tracking what projects actually cost <--> Financials Page

The Financials tab runs a live view of planned and actual costs across the project's full fiscal scope. Labor costs can be generated automatically from resource assignments, expense lines added directly against cost plans, and baselines created at any point for comparison tracking. EAC, ETC, and variance figures are surfaced without needing custom reports. 

 

RIDAC: keeping risks and issues in view <--> RIDAC Tab

The RIDAC tab brings Risks, Issues, Decisions, Actions, and Change Requests into a dedicated log. Stakeholders can be tagged directly, and open items feed into analytics — so nothing that matters sits in a spreadsheet or an email thread. 

 

Report: communicating project health <--> Status Reports Tab

The Status Reports tab generates structured snapshots of project health across schedule, cost, resources, and key metrics. Two default templates cover one-page summaries and comprehensive reports. Reports can be scheduled to distribute automatically, reducing the manual cycle of chasing status and building decks.  

 

Bringing Structure to How Teams Work with Playbooks 

The stages described what happens during the project and how Project Workspace brings that to life. Playbooks (the ServiceNow Platform capability) is now available with Project Workspace – this helps users guide if they are working in the right order, completing the right activities, maintaining the governance of the organization and ensuring the project health is satisfied.  You can learn more about Playbooks in Project Workspace from the community article here

 

Getting Started 

Project Workspace is available from the ServiceNow Store as application sn_pw. Starting with the Zurich release, installing the PPM Standard plugin also installs Project Workspace automatically. Please review the Product Docs for more details 

Role requirements to be aware of: 

  1. it_project_user — access to view and work within projects 
  2. it_project_manager — full project and resource management 
  3. it_pps_admin — workspace and card configuration
