Portfolio Planning Workspace: How to work with existing data?

We have installed the app "Portfolio Planning Workspace".

In this application, there is "Portfolio Plans" and "Free-form Roadmaps".

In "Free-form Roadmaps", I can select a source table and work with it - perfect.

However, in "Portfolio Plans", I thought I can work with existing Demands and Projects. But that does not seem the case: For projects, records are coming from the table "sn_align_core_project" (which is empty of course), and not pm_project as expected.

Is there a possibility to configure the application, so that we can use our existing records in the tables "pm_project" and "dmn_demand"?

Thanks, we did find we can get some of our data but other pieces of existing data are not pulling into the view.
1. Create a new based on Portfolio Lens

2. Select the ServiceNow existing portfolio which has a large amount of data in it but add a filter to only pull open demands and projects in progress ~100 items in total.

3. Go to the portfolio planning, we are only getting about 44 out of ~100 items after using the bulk import here https://docs.servicenow.com/bundle/tokyo-it-business-management/page/product/portfolio-planning/conc... but we do see significant integration errors

4. Example for a demand "The request cannot be processed - Record insert failed in Alignment table due to an unexpected error.Operation against file 'sn_align_core_demand' was aborted by Business Rule 'Validate Actual and Approved Dates^7b145f4587c13d107d2afc48cebb350e'. Business Rule Stack:Validate Actual and Approved Dates"

Do we just need to adjust our mappings and continue to do the bulk uploads? This example is that Demands don't have a mapping to Actual and Approved dates, do we simply remove these mappings? Thanks

Elizabeth,

Can you setup a meeting with me, would be easier to see what you've done and discuss more? sandeep.vajjiparti@servicenow.com

How do we synch this for Portfolio Planniny Workspace within SPM Standard, which does not have SPW?

Based on the analysis, the planning items were editable and we have added a new option called 'Scrum -Epic' to the list. However this new item is not showing up on the Planning Items field in the Lens form.

As most of our delivery is driven from the rm_epics, it is essential for us to create a lens which will point to the EPICs coming from rm_epic table. Is there way we can build a custom solution that can enable establishing connecting between the strategic planning app and the Agile development Epics?

Hi @Lukas B, the above solution from @Sandeep V1  of using the Project Portfolio lens is what we had initially used.  We did run into an issue with the state/phase filters to pull back demands and projects that are in specific places, so decided to use the freeform roadmaps instead for the specific use case of seeing existing PPM project and demand records.

Have found that the Freeform roadmaps work nicely to see both demand and project planning item type using the planning item table to pull back the copy of our execution records.  This allows us to view demands and projects in one view.  The right-hand pane when an item is clicked into allows us to click through to the execution record (the actual demand/project) for any updates we'd like reflected in the Strategic Planning Workspace (SPW).  A pre-requisite is the creation of your planning items and the sync of them which our awesome admin helped to configure.  Hope this helps! ðŸ˜Š
