Project Request

We are new to using the Project module in ServiceNow for projects. Others within the company are currently using it to assign multi-task break/fix to their groups but this is the first for us to use it for projects. We are starting out by moving our project request form to SN. The problem we are having is that while the request form has 4 task associated with the request, we don't close the request until the project is actually completed and updated with final information such as actual end date, actual duration, etc. Is there a way to have the task completed but keep the project request open until the end of the project? Right now, it closes after the last task is closed.

Thanks for your assistance,

Debbie

Hi Debbie

First, FYI, you can set up tasks within Incident so you don't use Project for INC's (break/fix) with resolution tasks. That's what we did to avoid people using the Project module for things that aren't really projects.

So for the 'Project request form'... is this going to be an REQ within Service Catalog? And with 4 tasks associated to that REQ/RITM? Then you create a Project PRJ from that REQ, correct? With it's own set of tasks, correct? And you don't want the Project PRJ to auto-close just because the last task in the Project PRJ is marked as complete? Or are you saying you have the REQ auto-close when the PRJ auto-closes, and you want the PRJ to go ahead & auto-close but not the REQ? Or are you referring to tasks just within the REQ/RITM?

Thanks for the clarification..hope my questions made sense!

Hi Debbie, I don't believe there is an easy way of changing the project task state roll up behavior. You could maybe create a milestone task that doesn't close automatically so that it will keep your project open? Just an idea.
