Automate Manager Notification for Inactive Users

We have a requirement to identify users who have been inactive in ServiceNow for a defined period lets say 30 days

Once a user becomes inactive based on their last login date or activity, we would like ServiceNow to automatically:

  1. Send a notification to the user's manager, and/or
  2. Trigger a Business Rule, Flow Designer workflow, or other automation to initiate a review process.

Has anyone implemented a similar solution? What would be the recommended approach:

  • Scheduled Job + Notification?
  • Flow Designer?
  • Business Rule?
  • User Criteria or another out-of-the-box capability?

We are looking for a scalable and maintainable solution that can periodically check for inactive users and notify their managers automatically.

Any best practices, sample configurations, or implementation guidance would be greatly appreciated.

Have you searched the community? This is a common ask that appears nearly every month. Different solutions are attempted depending on filtering needs.  

 

The most common is a scheduled job, based on the last login timestamp, that either deactivates the user or sends an email to the manager
