Is thiss allowed to use names of system artifacts/components for documenting things at work?
Are there some copy rights or license restriction?

You can always document things. Not sure what you are afraid of. ServiceNow itself is of course protected with copy rights and using it for marketing purposes will need you to obey their trademarks, but if you are describing in internal knowledge how a flow works within ServiceNow, you can just use it.
