The following article is a consolidation of multiple documentations and release notes with the intent to summarize and help community members seeking information about Application Portfolio Management in the London Release.
ServiceNow Application Portfolio Management (APM) uses the CMDB, discovery processes and cost modeling to deliver a complete picture of your application portfolio. Application Portfolio Management (APM) application is used to gain a comprehensive understanding of the applications used in your organization so you can identify redundancies and decrease budgetary costs. By consolidating applications within the same business function, you can identify applications to modernize or upgrade.
The Application Portfolio Management (com.snc.apm) plugin is the basic plugin for the application.
Note: The following is associated with a for-fee subscription only if your organization has purchased the subscription. However, this is available in your PDI (Personal Developer Instance).
However, the plugin has few dependencies and a few other plugins are activated as well (in the process):
- Data Certification
- Financial Management Core
- Project Portfolio Suite with Financials
- Fiscal Calendar
- Tree Map
- Performance Analytics (Content Pack) â Project Portfolio Suite (This has to be separately activated)

Capability Based Planning
- To create root-level, child, or edit capabilities as well as delete leaf capabilities use the Manage Relationships button in the Capability Based Planning map.
- Clicking Manage Relationship button enables you to create a level-0 capability, add a child capability, edit an existing capability and also to delete a leaf-level capability in the capability map.
- You can manage all the business capability relationship in the UI without having to navigate to the Business Capability form to do these functions.
- Capability-based planning integrates with Project Portfolio Management to retrieve the project investment details and the total number of demands created for a business capability and business application.
Technology Portfolio Management
- Search and filter applications using any attribute of the business application table in the TPM timeline view by clicking the filter icon. Now, you can use the condition builder to refine your search furthermore.
- The modified TPM timeline differentiates the titles of business services and software models in bold face separating them from the details.
- Click the hypertexts of business application, business service, and software models to navigate directly to their respective forms from the TPM timeline view.
Data integrity checks and data cleanup
The scripted and desired state audit results are posted on the Notifications section of the Application Portfolio Management home page. Click the notification to open the related tasks or the related data certification tasks.
Demand Creation within APM
Create a demand directly within APM rather than an idea. While an idea is a thought about a possible course of action, a demand is a direct request for an action or response.
Since a demand is action-oriented while ideas are not, creating an idea has been removed from Application Portfolio Management.
Create and view demands in,
- The bubble chart to achieve your application strategies.
- The Application Portfolio Management portal to achieve your goal.
- The Technology Portfolio Management (TPM) timeline for a business application.
- You can also add a demand or a project to a business application in the timeline view page.
- The Capability Based Planning map for the selected capability and at the business application level. In addition, you can,

- Associate the demands to any business capability or business application.
- View the consolidated number of demands created for the parent as well as its sub-capabilities.
- The Demand form when APM plugin is activated, with the mandatory Actions field capturing the course of action.
Data Certification
Notify the task owners by email when a certification task is newly assigned, reassigned, or close to expiring. You can configure the setting to true and set the email notifications Active to enable the functionality.
Preconfigured email notifications such as APM DC task assignment, APM DC task reassign, and APM DC task expiry is available that you can trigger depending on the certification task when you execute a schedule by clicking Execute Now.
These email notifications are inactive by default, which you must activate by setting it to true.
To activate the email notifications, navigate to Service Creator > Notifications.
Business Relationship Management
Associate the business applications and capabilities to the business units and departments of your organizational structure.
If you add a new capability, update an existing capability, delete a capability at a leaf node level, then the levels of all the capabilities and the leaf node in that hierarchy must be updated accordingly.
Click the Update Capability Level and HierarchyID related link to update the levels in the hierarchy so that the capability map reflects the updates.
The Leaf Node and the Level fields are rendered un-editable to you, yet you can view the level of the capability if it is at leaf node and its position in the hierarchy.
