Authors cant view their KB article when they are "draft" stage

Hello, i have a issue where people with kb roles, even with kb manager role cant view their articles when they are on the draft stage? I have tired to get this to work but i cant find a solution.

Hi @asd22 ,

Authors should be able to access their own Draft knowledge articles. Do not modify the OOB Knowledge ACLs first.

Recommended checks:

1. Ask the author to navigate to:

Knowledge > Articles > My Knowledge Articles

or:

Knowledge > Articles > Unpublished

Draft articles are not normally displayed in the standard Knowledge Portal search because portal search primarily shows published articles.

2. Open the Knowledge Base and verify that the author has contribute access:

Knowledge > Administration > Knowledge Bases

Check:

Can Contribute
Cannot Contribute

The author must match a Can Contribute criterion and must not match a Cannot Contribute criterion.

3. Do not rely only on the knowledge_manager role.

Having the knowledge_manager role does not automatically make a user the manager of every Knowledge Base. Add the user as the Owner or Manager of the relevant Knowledge Base, or grant access using the appropriate Can Contribute user criteria.

4. Check article-level access.

Open the Draft article and verify:

Can Read
Cannot Read
Author
Revised by
Ownership group

Make sure the user is not excluded by article-level Cannot Read criteria.

5. Run the OOB access diagnostic:

Knowledge > Administration > User Criteria Diagnostics

Select:

Record type: Article
User: Affected author
Article: Draft article

Click Diagnose.

This will show exactly which Knowledge Base or article-level criterion is granting or denying access.

6. If the article still cannot be opened from My Knowledge Articles or by direct URL, impersonate the affected user and enable:

System Security > Debug Security Rules

Then open the article and identify any custom ACL that is denying access.

Do not change the OOB kb_knowledge ACL unless the security debugger confirms an actual ACL issue.

If the requirement is to show Draft articles in the Knowledge Portal search, review the following property:

glide.knowman.show_unpublished

Enabling this is instance-wide and can expose unpublished content to configured roles, so test the security impact before using it.

The most likely resolution is to provide the author with Can Contribute access to the relevant Knowledge Base and use My Knowledge Articles or Unpublished to access the Draft article.
