Contract Management - Contract Record is stucked at state as Draft and sub state as under review

Hi All,

While working on the contract management, I got stucked with this issue. So, can anyone help me to understand what will happen if we moved the contract record to under review and it's waiting for approval's approver, but end date reached, or expiration level also reached? Can we renew the record at that time?

Actually when I approved the contract record, it's still stucked in the state as draft and substate as under review. Not even seeing the Adjust, Extend or Renew Button over a contract form.

Pls help me with this.

Thanks in Advance.

HI @Ankita Bisht ,
I trust you are doing great.

Let's break down your questions and provide a solution:

  1. What happens if we move the contract record to "Under Review" but the end date or expiration level is reached? Can we renew the record at that time?

When a contract record is in the "Under Review" state and either the end date or expiration level is reached, the system does not allow for direct renewal of the record. However, there are a few steps you can take to address this situation:

a. First, make sure that the appropriate approval process is configured for contract records. Check the workflow associated with the contract to ensure that it includes an approval activity for the "Under Review" state. This will ensure that the record moves forward for approval before any actions can be taken.

b. If the contract record is awaiting approval and the end date or expiration level is reached, you should consider extending the end date or adjusting the expiration level before the approval is granted. This can be done by modifying the contract record fields accordingly. Once the necessary adjustments are made, resubmit the record for approval.

c. After the contract is approved, the record should move to the next state based on your workflow configuration. At this point, the options to adjust, extend, or renew the contract should become available.

  1. The contract record is still stuck in the "Draft" state with the substate "Under Review." I am unable to see the "Adjust," "Extend," or "Renew" buttons on the contract form.

If the contract record remains in the "Draft" state with the substate "Under Review" and the mentioned buttons are not visible, there could be a configuration issue or missing permissions. Here are a few steps you can follow:

a. Check the contract record's form layout and make sure that the buttons for adjusting, extending, and renewing contracts are present. You can customize the form by navigating to the form layout configuration and adding the required buttons.

b. Ensure that the user or the role you are currently using has the necessary permissions to perform actions such as adjusting, extending, or renewing contracts. Review the user's roles and permissions to verify if they have the appropriate access.

c. If the buttons are still not visible after confirming the form layout and permissions, there might be a configuration issue with the workflow associated with contract records. Check the workflow to ensure that the necessary actions and transitions are configured correctly.
