Flow designer for a catalog item

Hi ,

I have a requirement to create a flow designer .

step 1: once catalog item details are filled and submitted . It should go to incident manager approval group for approving and an email should be triggered to them for approval.

step 2: if anyone approves it should create an major incident and an associated task to it.Both should follow oob flow.

step 3: if anyone rejects the flow should end  and request state should change to cancel .

Request to help with flow and conditions.

  • Trigger:

    • Flow starts when a catalog item is submitted (via the Requested Item Created trigger).
  • Step 1: Send for Approval:

    • Use the Ask for Approval action to send the request to the Incident Manager Approval Group.
    • Automatically send an email to approvers.
  • Step 2: Evaluate Approval Outcome:

    • If Approved:
      • Create a Major Incident with the required details.
      • Create an associated task linked to the incident.
      • Let the OOB Major Incident flow handle further actions.
    • If Rejected:
      • Update the request's state to Canceled.
      • End the flow.
  • Best Practices:

    • Test the flow with both approval and rejection scenarios.
    • Use Flow Designer's Execution Details for debugging and validation.

Hi @Jaya9 

 

You can follow below approach to start with :

 

1. Create a flow with trigger type as Service Catalog.

2. Make use of Ask for Approval Action to send an approval task to Incident Manager Approval group. Once the task  is being assigned to the approval group, an email notification will be auto-triggered.

3. Make use of if-else flow logic to check if the task is approved or rejected.

4. If approved, make use of Create Record action on Incident table to create the Major Incident. For the task, you can make use of Create Task action.

5. If rejected, make use of Update Record action to update the RITM state to Cancel followed by End Flow flow logic.

 

I will suggest you to give it a try on your own with the above mentioned steps and revert if you are stuck or face issues.
