How is workspace access managed?

How is workspace access managed in SN? Is it by role? I ask because our team owns a custom workspace and they have asked me if we need a specific role for our agents to use it because we're trying to crackdown on cost/license use.

 

The idea is to grant our users the minimum amount of roles necessary for them to do their job/use the workspace. So if some roles are not necessary for them to use the workspace and they cost money, then we would remove them.

In ServiceNow, the visibility of any application, module, or data is based on the user's role. To access a workspace, a user must have at least the "Workspace User" role. If it's a custom workspace, the user also needs the corresponding role assigned to their profile.

Each workspace has it's own role configured which defines who can see it

Also remember at a minimum "canvas_user" role is required for workspace. I got to know this during 1 recent implementations

But I believe a lot has changes in recent versions.

Also I don't think any license cost comes into picture when you create n number of custom workspaces.
