How to get started with resource planning.

1) Create a group add members and give a group role as "pps_resource" after that this group and members are eligible for resource planning.

2) In this created group there is Hourly rate field you can specify to calculate cost of resources.

you can add cost to this field, it will calculate cost per hourly.

3) System Schedules need to configure for plan resources by default it will be Monday-Friday 8-5

  working hours will be 8 hours ,08 am to 12 pm and 01 pm to 05 pm

4) Cost will be calculated based on schedule so need to configure schedule in ServiceNow, if user is not available on specific days, cost will not be calculated for that day.

5) Resource Plan cost calculated by default per hourly using below property 

"com.snc.time_card.default_rate". it is $50 by default.

6) Create Rate Card to Calculate Resource Plan Cost as follow steps.

Create rate card in rate_card table, first create attribute to identify for which field you want to have rate applied per hourly and create rate lines for specific period and add Rate.

7) For individual Resource plan users' cost will be calculated from Labor rate cards, labor card are templates used to define worker's labor rates when calculating task cost based on time worked. 

- Cost management is module in ServiceNow tracks configuration item costs. The costs can be allocated to business units.

😎 Rate Override field on Resource Plan is used to calculate cost for resource.

  • What is order of Resource Plan to calculate cost? 
  • if No rate card is selected for defined start and end dates in resource plan, it will check if hourly rate is defined for group. if hourly rate is not defined for will take default rate from system.
  • Resource Plan Request Type
  • Hours – How many hours you want to requested resources.
  • FTE – Full Time equivalent – 1 FTE is equal to working days from start to end date * 8 hour per day work.
  • For example – Start and end date – 1 Feb 2024 to 29 Feb 2024 – in these working days are 21 days so 21*8=168 hours
  • Person Days – 1 person day is equal to 8 hours per day

 

  • How to convert FTE to hours
  • If FTE is 0.48 then you need to take 0.48* how many working days between start and date
  • 0.48* 168 hours from above example working days = 80 hours
  • Members Preferences – All Members, specific members and Any Member 
  • Any member Preference is used to find available capacity automatically.
  • All members from all group.
  • Allocation Spread – Front Load, Even
  • Even – Evenly distributes hours to person who are available.
  • Front Load - Maximum capacity will take if user has, then distributed hours.
  • Resource Workbench – you can do planning and manage availability of resources using detailed view of Resource Plan.

- Individual Resource plan users' costs are calculated from Labor rate cards. These are templates used to define a worker's labor rates when calculating task cost based on time worked.
- The Rate Override field on the Resource Plan is used to calculate the cost for a resource.
- The order of Resource Plan cost calculation is as follows: if no rate card is selected for the defined start and end dates in the resource plan, the system will check if an hourly rate is defined for the group. If no hourly rate is defined, the system will take the default rate.
- Resource Plan Request Types include Hours (how many hours you want to request resources for), FTE (Full Time equivalent – 1 FTE is equal to working days from start to end date * 8 hours per day), and Person Days (1 person day is equal to 8 hours per day).
- To convert FTE to hours, multiply the FTE by the number of working hours between the start and end date.
- Members Preferences options include All Members, Specific Members, and Any Member. The Any Member Preference is used to automatically find available capacity.
- Allocation Spread options include Front Load and Even. Even distribution evenly distributes hours to available personnel, while Front Load takes the maximum capacity if the user has it, then distributes hours.
- The Resource Workbench allows for planning and managing resource availability using a detailed view of the Resource Plan.
