Remove ITIL licence from a user

This is most likely a ridiculously simple question, but I am new to SN administration and am without technical guidance or training at present. Have lodged a query with my account team but looking to community for guidance in the interim.

How to remove the ITIL licence from a user (in each of multiple potential scenarios)?

  1. Inactivate user, but leave all group memberships intact - for example if the user account is seasonal and may need to be reactivated - i.e. will role inheritance (and therefore licence consumption) remain in place despite the account status or is an inactive user NOT counted as a licence consumed?
  2. Leave the user active - for example if they still need to access Service Portal and / or other non-ITSM applications - but remove them from any group which causes inheritance of the itil role (and therefore consumes a licence)?
  3. Does it make sense to remove the itil role from most groups as a general rule, removing the multiple inheritance scenario, and simply either (a) allocate the role directly or (b) add the user to a specific group designed specifically for the inheritance of that role (alone) when on-or-off-boarding?
    • (The idea here being that itil role (by itself) could be enabled (consumed) but also easily switched on or off for individuals as and when required. Does this work?)

Hi @mikethornton

  1. Inactivate user, but leave all group memberships intact - for example if the user account is seasonal and may need to be reactivated - i.e. will role inheritance (and therefore licence consumption) remain in place despite the account status or is an inactive user NOT counted as a licence consumed?

Atul: It depends that you have any policy on place like user must be login in 60 Days.

  1. Leave the user active - for example if they still need to access Service Portal and / or other non-ITSM applications - but remove them from any group which causes inheritance of the itil role (and therefore consumes a licence)?

Atul: No, it means user dont have ITIL licensee.

  1. Does it make sense to remove the itil role from most groups as a general rule, removing the multiple inheritance scenario, and simply either (a) allocate the role directly  Atul: NOT a best practice or (b) add the user to a specific group designed specifically for the inheritance of that role (alone) when on-or-off-boarding?  Atul: Yes good option

In short , if I say from experience, all these need to discuss with Account team.
