As simple, buddy, as per GDPR, a company cant keep the employee docs after employee leave the org, ( I guess it is 3 years) , this is called the document retention policy.
I am giving answer from GDPR , the time period can chaneg from org to org.

A document retention policy usually defines how long an employee document will be retained in the system.

Retention policies are the part of employee document management system that comes up with HRSD application. It helps you to manage and organize your documents properly. Retention policies are the set of rules which help you to retain the documents, when it is supposed to be dispose if not required but if require then retention policy comes into the picture and store that document till the specified time.
