E-signature integration with ServiceNow Document Template and Adobe Sign/DocuSign
Agreements and transactions that were once signed on paper and delivered physically are now being replaced with fully digital documents and workflows as more business' transactions are conducted online. In the new world of work, where employees are working from home raises this demand to have documentation and signature processes online. We see a shift in use from hard copies of documents to online document storage and signing. The e-signature process lets you sign a document electronically and it confirms the signer. It is a mathematical code that authenticates the document from the sender and ensures the document stays unaltered on reaching the recipient.
ServiceNow Document Templates
Document templates are created within the application and use variables to pre-fill information from tables into the document. You create how the document looks by defining the header, footer, images, placement of footer, and the text within the template.

Adobe Sign and DocuSign integration with Document Templates
We have incorporated the e-signature capabilities of the sign partners with our document templates feature. The flows are designed in a way to give an HR agent the liberty to choose a signing partner when the integrations are in place. This integration works within the HTML template in Document template. When the template is set up and the integrations plugin is in place, the HR agent can see this e-signature partner name under field “Signing type” as shown in the image below. The image represents an instance which has both the Adobe Sign and DocuSign Integration plugin installed. The customer can choose to use ServiceNow signing as well if the integrations are not in place.

What happens after the signing type is selected?
Depending on the signing partner selected under the “Signing type” field the signing URL is generated for that specific partner. The HR agent will be able to define the signing order for the participants. In the current integration serial, parallel, and hybrid signing order is supported.
Employee Experience:
The employees can sign via the NOW mobile app, the employee service portal, and the ServiceNow platform view. This enables employees to sign from anywhere easily using mobile or Web.

The idea behind these integrations is to provide our customers with a seamless signing experience with security. This comes as a part of our digital transformation where we find employees where they are and enable them to sign from anywhere.
