Empower Employees with Granular Delegation

What is Granular Delegation?
New delegation capabilities that allow customers to control precisely which users can delegate tasks & approvals, which types of tasks those users can delegate, and to whom they can be delegated.

Who should use Granular Delegation?
Organizations with extensive tasking to employees, whether via Lifecycle Events or Employee Journey Management capabilities, Content Experiences or on an ad hoc basis.

Important Note: This feature set is intended for employee users (not fulfiller or agent users). Depending on your use cases, Fulfiller/Agent delegation is likely better managed via Advanced Work Assignment.

What task types are supported out of the box?
Any task can be used with Granular Delegation with one important exception. If the delegated user does or would not already have access to the delegated task when it is delegated, Granular Delegation will not grant access unless the appropriate ACLs (Access Control Lists) are updated to support Granular Delegation.
Please Note: This change has already been made for all HR tasks OOTB with these exceptions:
• ‘Take Survey’
• ‘E-Signature’
If you need to use Granular Delegation to grant access to additional task types, you can modify the associated ACLs to look for the assigned to. See the Product Document for more information.

Once support for a task type has been added or verified, add the table to the “Delegation Rule Tables” module so that it can be added to a delegation rule. This will enable those tasks to be delegated.

Granular Delegation Personas & Core Use Cases:
Administrator: Manage the rules that govern which types of tasks can be delegated by employee users.
Employee delegators: Delegators who can manage which of their tasks they want to delegate, to whom they should be delegated to, and when via the Employee Center.
Employee delegates: Users who have been delegated tasks and notified of who is delegating to them and what they have been delegated. Delegated tasks appear on the to-do/tasks portal page with all the information and access needed to complete them.


Administering Granular Delegation as an Admin:
• Use Delegation Rules and conditions to configure which kinds of tasks can be delegated (e.g. “I only want to allow new hire onboarding tasks to be delegated”)

Add user criteria to delegate rules:
• Control which users can delegate tasks (e.g. “We only want managers to be able to delegate tasks”)
• Control who can be delegated tasks of this type (e.g. “I want to specify not only what tasks can be delegated, but also who can be delegated that type of task”)

Delegating Tasks as an Employee Delegator:
• Users who have permission to delegate tasks can manage their delegations from the Employee Center via the new widgets below.
• Employee delegators can delegate approved tasks, to approved users, at specific times.

Ad Hoc Delegation: An alternative way to delegate tasks
• Allow employees to delegate individual tasks instead of creating a new delegate to accommodate use cases where an employee only wants to delegate a single task.
• Tasks that are delegated in an ad hoc manner are shown in the delegator’s profile just like tasks delegated via a delegate.

Working on New Delegation Tasks as an Employee Delegate:
• Delegates get notified via email of new delegation responsibilities when they become active
• Delegates can view delegate tasks as part of their normal tasks in the Employee Center

Allow employees to manage their delegations from the Now Mobile App:
• Manage new and active delegations
• View delegated tasks

This is a really great summary. I am working on a use case where this feature could potentially be very valuable. In reading the documentation and exploring using my PDI I am not seeing how to enable Ad Hoc delegation. Is that done via Granular Delegation or perhaps from the task configuration?

Hi Rob,

           I have one question . If an user belong to multiple groups, user want to delegate to different user based on different assignment group.  Is there common setting for it?

I only find a way to set different rules (condition based on assignment group and assigned to) for each of group just one user. It was very complex for client to use it.

Hi. What are the names of the widget on the 4th image, the "Select a person and their duties"?
We have the Employee Center Pro v28.0.2 installed (EC:Core v28.0.5 / EC v28.0.4), Granural Delegation plugin but this widget is nowhere to be found. I only found "edit_granular_delegate" widget and "granular_delegation_list" widget (the second one is present on the " hri_user_profile" page).

Hi, i was wondering if it is possible to delegate the power that someone can access on behalf of you, HR Services / record producer forms. So he/she can request somethings.

 

If yes, how to deal that with HR Criteria's whereby the person is first not eligible to access the hr service.
