Hello Community,
We have a requirement in ServiceNow HRSD related to PDF e-signatures.
Current Implementation
- A Record Producer is submitted.
- An HR Case is created.
- A PDF is generated dynamically using the Record Producer variables.
- The PDF is automatically attached to the HR Case through a Business Rule.
- I have already verified that the Electronic Signature (E-Signature) plugin is installed and active in our ServiceNow instance
We have successfully achieved the PDF generation and attachment process.
Requirement After the PDF is generated and attached to the HR Case, we need the following workflow:
- Create a task for the Colleague (Employee) to review and provide an e-signature on the generated PDF.
- Once the colleague completes the e-signature, create or assign a task to the Line Manager for their e-signature.
- After both signatures are completed, the process should continue to the next HR activity.
Key Questions
- How can we implement e-signatures on a PDF that is already attached to an HR Case?
- Is there a way for users to sign the attached PDF directly from Employee Center without downloading and re-uploading the document?
- Since all PDF values are dynamically generated from Record Producer variables, what would be the recommended approach to update the same PDF with both signatures?
I've attached a sample screenshot/PDF for reference. The document contains signature sections for both the Colleague and Line Manager.
Any guidance, best practices, or implementation examples would be greatly appreciated.

My thoughts
-> use Document Templates with HR e-signature tasks and don't use your current PDF logic
-> Don't generate the PDF directly instead configure that in Document templates and then generate the PDF and assign to the guys to sign. With this you stick to OOTB process
