Incident Report by Subject but subject has App23 and App30 to differentiate them

Is it possible to make an incident report to group incidents by subjects and that only thing that differentiates them is wording that they have like  App23 and App30?

Hi Buddy,

 Yes, it’s possible, but not directly just by using the wording in the subject.

Out of the box, ServiceNow can only group reports by field values, not by “similar text.” So if the only difference in the subject is something like App23 vs App30, ServiceNow will still treat those as completely different values and won’t group them together automatically.

You have a few practical options:

  • Best approach: don’t rely on the subject text. If App23 and App30 represent applications, capture that in a proper field (Application/CI/custom field) and group the report by that instead.

  • Good workaround: create a derived field (for example, “Subject Group”) and populate it using a Business Rule or Flow that strips out the variable part of the text. Then build your report grouped by that field.

  • Limited option: use “contains” filters on the short description, but this only filters records—it doesn’t truly group them.

Basically, if this is something you need regularly or for reporting to leadership, you’ll want to normalize the data instead of depending on free-text subjects.
