Article attachments in the attachments widget.

Hi, hoping someone can help. 

 

I am seeing an issue that whenever an image is pasted into a Knowledge article it then uploads into the attachment's widget/ sidebar. 

 

This is problematic especially with longer docs where multiple images have been added to the description. 

 

Has anyone found a way to control the type of attachments that are displayed so it only surfaces actual attachments linked to the article rather than pasted into the description fields.

Hi, @Tam_Mailley ! When you paste images into a knowledge article, SNOW automatically treats them like attachments. That's why they show up in the attachment widget - which I agree is problematic, because then they clutter up the widget and any other more necessary attachments you may have.

The best practice is to add your images to the image library. Then, use the image tool in the content tools to add your image. (Bonus tip: Use a naming convention for your images, so you can find them again later. I use a combination of KB#s and keywords, in case I want to re-use an image. So, for example, since I managed the HR knowledge base, it would be HR_KB0011111_screenshot_upload_docs_HUB or something like that. That way, I can search both by KB# AND by topic as needed.)

It's an extra step, but it's the cleanest way to keep your images from cluttering up your attachment widget.

Here's an older question/reply about images as attachments - with some discussion about whether or not it's a best practice. It's really up to the individual organization. For us, it became a best practice - especially as we started using MORE and MORE images for screenshots in how-to articles and other technical documentation. 

 

Plus, everyone can see not only your file names (which can be messy/ugly/hard to read) but also the name of the person who uploaded the image. If you hover your mouse over the file name in the attachments widget, it tells you who uploaded it. That can be a problem if the person who uploaded the image/attachment has nothing to do with the topic (which was often the case at our org).

Hi Lauren,

Thanks for getting back to me on this. I've pulled ack around to it as a side effect of the prepping for AI and want images to be able to assist in search functionality. Are you able to share this job aid. It may be the way we are set up but I am unsure about the use of the image library.

What I have done is uncheck Display attachments, add the attachment and copy the attachment url. Then I create a link to the attachment in the article. This is definitely a workaround, but it's worked for me.
