Dashboard + reports sharing for ITIL users

Hello team,

We are promoting the usage of Dashboards among the teams that are using our ServiceNow instance.
Our users are having just ITIL role and not additional report roles.

The issue we are having is that they may create a Dashboard and share it but they will not be able to share the reports the Dashboard embed. This is due to the fact that ITIL role does not allow sharing reports.

A role, report_group, would allow them to share the reports, but also enable the editing of any report that is shared with them... so a person may accidentally modify a report and this will affect everyone using it.

Do you know an easy way to:
- allow end user sharing reports they create with users or groups
and at the same time:
- do not allow the same users to modify reports that have been shared with them (if they did not create the specific report)

What version are you on? In Jakarta, users should be able to share reports with users or groups. Permissions for the dashboard can be set to Read or Update permission.

They need to share the reports individually outside of the dashboard permissions (if that's really needed?) - although you're correct in that the users could then update and save reports. I think that's the only reason they'd need to share the actual reports.

On Kingston. But ITIL cannot share reports... it would see just "Me" among the available sharing options (within a report).

To see "Groups and Users" the "report.group" role is needed.

Hm, weird. Our ITIL users can share reports with individuals or groups. I don't think this is anything we've customized, pretty sure it's OOB. (We're on Jakarta)

 UPDATE - just checked, we gave Report_group access to ITIL users so they could share reports.

Although, if they add their reports to a dashboard and share the dashboard, users could see/view the reports that way too.

I suggest give some people roles so they create reports which are then used on dashboards.

The rest is just using dashboards and have no need to go to reports and edit or change them.

If needed new report is requested and widget is created which can be reused on many dashboards.
