This post is part of the Process Mining Use Case Series where we’ll focus on different techniques to identify process inefficiencies, non-conformant activities, and improvement opportunities. These posts will include a demo of the use case and instructions on how to configure a project for a similar analysis in your environment.
What makes Process Mining a great tool to report on the Change Management processes is that it doesn’t just report on the information currently contained in the Change record. Process Mining can look historically and analyze the values that were previously there, but were later updated.
In this use cases we will focus on a situation where the Calculated Risk of a Change is recalculated and downgraded, potentially causing that Change not to be taken as seriously during the approval process.
Configure a Mining Project for Change Risk Recalculation Analysis
From the top navigation menu, go to the Process Mining > Projects > Create New
Name your project and click Save.
In the Table Configuration related list click the New button.
Name the Table Configuration record and in the Table Conditions section, select the Change Request (change_request) table.
Leave the Include approvals box unchecked.
Include any necessary conditions in the Filter section. Active is False is a mandatory condition for this analysis. The rest would need to be applicable to your organization. Please see an example below.
Click Save.
In the Activity Definition related list add Risk and Active as the 2 activities for this analysis. Add any Breakdowns applicable to your organization.
Configure a Project Finding Definition to find High Risk Changes that were downgraded
Back on the Project Definition record, go to the Project Finding Definitions related list and click New.
Select the Category of Conformance and the following Message: Risk Downgraded From High To Moderate Or Low.
Click Save.
In the Finding Rules related list, click New to create a new rule.
Click the plus icon to create a new start condition.
Fill out the condition information as displayed on the screenshot below and click Submit.
Click the plus icon to create a new end condition.
Fill out the condition information as displayed on the screenshot below.
Click the magnifying glass icon for the 1st condition and then click the New button.
Fill out the condition information as displayed on the screenshot below and click Submit.
Click the magnifying glass icon for the 2nd condition and then click the New button.
Fill out the condition information as displayed on the screenshot below and click Submit.
Click Submit to save the end condition.
Click Submit to save the finding rule.
