: Queries Regarding Entitlement Creation in SAM Pro

I am new to SAM Pro and have a few questions regarding entitlement creation. I would appreciate your guidance on the following scenarios:

1. Duplicate or Missing PPNs in Purchase Orders

   • In some customer POs, I found multiple PO line items with the same Publisher Part Number (PPN) but different quantities and unit prices.
   • In other cases, certain PO line items do not have a PPN and appear to reference the same software model.

   What is the recommended approach for entitlement creation in these situations?

   • Should entitlements be created by aggregating quantities for the same PPN?
   • Or should separate entitlements be created for each PO line item when prices differ?
   • How should PO lines without a PPN be handled?

2. Software Model Not Available

   • While creating entitlements, I occasionally encounter products for which the corresponding software model is not available in the system.

   What is the recommended process in this scenario?

   • Should a new software model be created first and then the entitlement be created?
   • Or is there another best practice for handling such cases?

Any recommendations, best practices, or documentation references would be greatly appreciated.

1. Duplicate or Missing PPNs in Purchase Orders

If there are multiple PO line items with the same Publisher Part Number (PPN) but different quantities and unit prices, the approach depends on how you want to track the purchased rights and costs in SAM Pro.

• If the PPN is the same and there is no requirement to track the cost of each purchase separately, you can create a single entitlement by aggregating the quantities. In this case, the purchased rights cost can be represented using the average unit price.

• If you need to track the purchased rights and costs separately for each purchase, you can create individual entitlements for the different PO line items, particularly when the unit prices differ.

For PO line items where the PPN is missing, but the line appears to refer to the same software model that has a PPN, first verify whether there is any difference in the version, edition, license metric, or other product attributes.

• If there is no difference between the products, the PO line can be associated with the same PPN, and a single entitlement can be created.

2. Software Model Not Available

The approach depends on how the entitlement is being created.

• If you are creating the entitlement by uploading an entitlement sheet and the corresponding software model is not available, first check whether the required information in the entitlement sheet is complete and accurate. Once the missing information is provided, re-import the sheet. In such cases, the system can automatically create the required software model during the import process, so there is generally no need to create it manually beforehand.

• If you are creating the entitlement manually by clicking New, the corresponding software model needs to be created first before the entitlement can be created.
