Unable to apply sub flow - Workflow Studio

I’m encountering an issue where I am unable to add or use a specific subflow created by my colleague in Flow Designer.

 

Context:
- We are working on an Order Guide implementation.
- My colleague created a Flow that houses a Subflow which checks if all associated RITMs are closed, and if so, closes the parent Request (REQ).
- I can see the Flow and Subflow in the Flow Designer list view.
- However, when I try to add this subflow as an action inside one of my own flows, it does not appear as an option in the “Subflow” picker — even though it does for my colleague.

What we’ve confirmed:
- We are following the same steps to add the subflow
- The subflow is active and published
- We’re both working in the same instance/environment


Could you help determine why I’m unable to apply or access the subflow from within my own flows? Could this be related to:
- Application scope
- Permissions or roles
- Flow ownership
- Subflow sharing settings
- Anything else that would limit visibility or usage?

Likeliest scenario (and easiest one to check) in the list you've provided is the Scope difference.

We are all working under the global scope.

The most common cause, especially if your colleague sees the subflow correctly, is scoping mismatch. Make sure the subflow is active, in the same application, published with at least one action, and that your user has the correct roles and cross‑scope access. Once aligned, the subflow will appear in your subflow picker. If everything looks right but it’s still hidden, you may be running into a known limitation or bug tied to scoped flow distribution,in that case, duplicate the subflow into your studio and check again...
