I have a program that is current a "special project" that has resources that need to be assigned and upper management needs to be aware of the resource allocation for the project without everyone else seeing the project in the company. Is this possible?

Hi Tammy,
If a User is setup with the role of project_manager, yes, they can change any project, even if it is in a different portfolio. This is true in Fuji and prior versions.
If you wanted to change that feature you would need to write an Access Control (ACL) to only allow the listed Project Manager to change the project record.
Mark my answer correct & Helpful, if Applicable.
Thanks,
Sandeep

Hi Sandeep,
Would you be able to explain how this is done in San Diego? I have never used an ACL.
Thank you,
Tammy

Sandeep, does ACL restrict or hide the project from all except the PM?

What we've done is not particularly elegant but is simple and doesn't require any customization of ServiceNow. We give the project a "code name" in ServiceNow ("Project Osprey", "Project OWL", "Project Monarch", etc.) but remove all confidential detail from the system. All of the confidential details are then retained in a SharePoint (now Teams) with tight control maintained (by the PM) of who can access it there. The URL of the Team Site is entered in the project description so it's easy to jump from one to the other (as long as you have the Teams access of course). None of the resourcing is considered confidential (nobody can tell what the resources are working on) so can be maintained in ServiceNow without a problem.
