Ordering knowledge base categories and articles in a defined manner in `id=kb_search`

Within a knowledgebase, is it possible to organize the order of categories? We are building out a knowledgebase to cover the hiring process which we would like to appear in chronological order.

Similarly, I'm curious if it is possible to sort the results in a defined manner too? Or is that not possible?

Hey @jschnoll

Short answer: yes to both, but with different amounts of effort involved.

For categories, this is the easier one. Each category has an order/sequence field you can set in the Knowledge Base admin config, so if you have admin access, you can just go into the Categories list for your KB and assign numbers to get them in the chronological order you want for the hiring process. No developer needed for that part.

Search results are trickier. Out of the box, ServiceNow only gives you a few sort options — relevancy, most viewed, alphabetical, or newest — there’s no built-in way to force a fully custom manual order like “step 1 of hiring, then step 2,” etc. To get that, you’d need someone to clone and modify the search results widget, which is more of a dev task than a config change. Worth checking with whoever manages your ServiceNow instance to see what’s realistic for your setup.

Hi Kilo! Thanks for the response. When I navigate to the knowledge base, I don't see order as an option. I'm attaching a screenshot of the available fields for kb_category
