🔍 Help Needed: Multi-Task Workflow – How to Manage Communication Across Multiple Active Tasks?

Hi Community,

I’m looking for guidance or best practices for handling communication in a multi-task workflow where multiple tasks (SCTasks) are running in parallel under a single RITM.

Current Challenges

 Communicating Freely Across All Tasks

The only working option we have so far is:

  • Communicating at the RITM level, so all task owners can see the message.

However:

  • This requires admins or fulfiller teams to manually navigate to the RITM and post comments.

  • This becomes manual, time-consuming, and memory-intensive when many tasks are active.

 Communicating to a Specific Task

The expected behavior:

  • If a user replies to a notification for a specific SCTask, we want that reply to automatically populate the same task's comments.

The issue:

  • There is currently no out-of-the-box mechanism to map inbound email replies or user responses back to the specific task when multiple tasks are open.

  • So far, we have not identified any working solution to write comments back to the correct SCTask.


What We Are Looking For

We want to know if there is:

  • Any supported method or configurable approach to route user responses back to the correct task (SCTask) in a multi-task workflow.

  • Any pattern, best practice, or plugin recommended for handling communication when several tasks are active simultaneously.

  • Any custom email reply mapping, business rule, or workflow logic others have successfully implemented.
