Trying to understand ITIL role assignment thru group inheritance.
Eg:
we have 100 ITSM license. We have 30 groups with ITIL role. And 20 unique users in each group., no individual user ITIL role assignment.
So, are we using 30/100 ITSM license ? or 600 license?
Thank you.

Hi @MThomas1 ,
To answer your question,
- Unique User Count: ServiceNow counts the number of distinct (unique) sys_id values in the system that have the itil role assigned, whether directly or inherited through a group.
- Group Inheritance Logic: Assigning a role to a group is a best practice for management, but it does not change the license math. Every active user who inherits the itil role from a group is counted as one licensed "Fulfiller".
- Duplicate Users: If the same user belongs to multiple groups (e.g., User A is in Group 1 and Group 2, and both groups have the ITIL role), that user still only consumes one license.
- Active Status: Only Active users with the role typically count toward your quota in most standard contracts.

Hi @MThomas1
Short answer - you are utilizing 30 x 20 = 600 as ITIL role is based on user license unless you have unrestricted. To be sure if you are over utilizing or not, I would also recommend to reach out to your ServiceNow sales representative, for further dialogue.
If my answer has helped with your question, please mark my answer as the accepted solution and give a thumbs up.
