For the #BuildMoreWithBuildAgent challenge, I built "Smart Resource Advisor" – a ServiceNow application that recommends employees for open Resource Plans in SPM based on skill matching and availability.

The problem it addresses: Resource Managers manually review project descriptions, employee profiles, and workload data to fill open resource requests. When requirements are written as free text in Demands or Projects, there is no systematic way to match them against employee skills without significant manual effort.

The application reads unassigned Resource Plans, extracts required skills from the linked Demand or Project description using a keyword-based matching engine (with a Now Assist GenAI path for licensed environments), and scores each employee based on skill overlap and current utilization. HR absence records are included in the availability calculation. The result is a ranked list of up to five candidates per request, each with a match score, availability percentage, and a short explanation. Resource Managers can assign directly from the UI.

A few honest observations from the build process:

Build Agent produced a structurally complete application from the initial prompt, but the build failed with generic DiagnosticErrors. The fix was to prompt an incremental rebuild – starting from a minimal shell and adding one component at a time. That approach isolated the root cause in two steps and is the most transferable lesson from this project.

Scoped apps in ServiceNow introduce cross-scope access restrictions that are easy to overlook. Writing to sys_user_has_skill from a scoped Script Include is blocked by default and requires either global scope execution or explicit cross-scope privileges. The GlideAjax endpoint also requires "Accessible from" to be set to "All application scopes" – otherwise the client call returns a 404 with no further explanation.

The application was built entirely on OOTB SPM tables (resource_plan, dmn_demand, pm_project, sys_user_has_skill, sn_hr_core_case) without custom schema changes, using five Build Agent prompts.

 

Initial prompt:

Build a ServiceNow application called "Smart Resource Advisor" for the SPM module.

The app helps Resource Managers find the best-matching employees for open resource plans and resource assignments by using AI-based skill matching and availability analysis.

**Core functionality:**

1. RESOURCE REQUEST ANALYSIS
   - Read open Resource Plans (resource_plan table) and Resource Assignments 
     (sn_plng_att_core_resource_assignment table) where no specific user is assigned yet
   - Extract the requirement description from the linked Demand (dmn_demand.description, 
     dmn_demand.short_description) or Project (pm_project.description, 
     pm_project.short_description)
   - Use Now Assist / GenAI to analyze the free-text description and identify 
     required skills, roles and competencies

2. EMPLOYEE SKILL MATCHING
   - Query employee skills from sys_user_has_skill (joined with cmn_skill for skill names)
   - Match identified required skills against each employee's skill set
   - Calculate a match score (0–100%) per employee based on skill overlap

3. AVAILABILITY & WORKLOAD CHECK
   - Calculate current utilization per employee from existing Resource Plans 
     (resource_plan) and Resource Assignments (sn_plng_att_core_resource_assignment): 
     sum of planned_hours vs. available capacity for the relevant time period
   - Check HR absence records (sn_hr_core_case or sn_absence_management) for 
     overlapping leave in the requested time window
   - Combine both into an "availability score"

4. RECOMMENDATION ENGINE
   - Combine skill match score and availability score into a weighted overall score
   - Display a ranked list of the top 5 recommended employees per resource plan/assignment, 
     showing: name, matched skills, overall score, current utilization %, absence conflicts
   - Provide a short AI-generated explanation for each recommendation

5. DIRECT ASSIGNMENT ACTION
   - Allow the Resource Manager to select a candidate from the list and directly 
     assign them to the resource plan (user_resource on resource_plan) or resource 
     assignment with a single click
   - Trigger a notification to the assigned employee

**UI:**
- Workspace-style UI with a list of open/unassigned resource requests on the left
- On selection: show requirement details (description, dates, required hours) and 
  the ranked recommendation list on the right
- Include a dashboard with KPIs: number of open requests, average time-to-fill, 
  top skill gaps

**Tables to use (OOTB SPM, do not create duplicates):**
- resource_plan, sn_plng_att_core_resource_assignment
- dmn_demand, pm_project
- sys_user_has_skill, cmn_skill
- sys_user (employee profiles)
- sn_hr_core_case (absences)

Use scoped roles: resource_advisor_viewer and resource_advisor_manager.

My contribution to the #BuildMoreWithBuildAgent Challenge - a Meal Planner that figures out what to eat for dinner!
I used the opportunity to find out where the Build Agents limits are - and tried to keep my prompts as simple as possible.

Prompt 1:
Build an application that functions as a Meal Planner.
The user should be able to navigate to the list of meals in the application and be able to add their own
Populate the list with at least 20 different meals for dinner.
The meals should be grouped into different types.

The homepage should show an overview of the current and upcoming week and recommend a meal for dinner for each day.
The user should be able to reroll a new meal for each day individually.
The meal suggestions should take the previous meals of the last week into account to prevent multiple meals of the same type in a row.
Example: The user doesn't want to eat a meal with rice more twice in a row.

Prompt 2:
Please deploy the application and provide me with a link to the homepage of the new application.

Prompt 3:
When I try to add a Meal to a specific day, a PopUp open where I can select one. Hoever the application should automatically choose a meal for that day, the user should only be able to re-randomize the meal. Please select a meal for each day of this week and create a scheduled job that runs on fridays and chooses a meal for each day of the following week.

Prompt 4:
Add a button to open the homepage to the dashboard.
Also set the MealType for all the different dinners in the meal table

Prompt 5:
The meals in the meal table still have no meal type set. Please make sure the references between the meals and the meal type table are set as needed.

Prompt 6:
When I Auto-Select a Meal, a meal is added to the weekly meal plan table. However, this table has 2 problems: #1 A column created_at was added. The value is both empty, as nowDateTime is not available in the scope of the application, but it is also unnecessary as the system-wide sys_created_on exists #2 The auto-selected meal is not visible in the dashboard.

Prompot 7:
Please analyze the Dashboard again and take a look at how the meals are selected/displayed.
The dashboard is still showing "No meal planned" on today (friday, 17th of april), even though records for today exist in the weekly meal plan table.

Prompt 8:
Adjust the order of days in the homepage so that monday is shown first. Also add more visibility to the extra information in the meal table, for example an emoji for the estimated duration and a button to show the needed ingredients.

As Build Agent was already busy building the application for me, I choose to let it summarize its own work:

HR Portal App — Employee Experience Edition My #BuildMoreWithBuildAgent Submission

Hi everyone, sharing my submission for the challenge.

The app: HR Portal App is an operational HR self-service platform built entirely with Build Agent on my PDI. It handles employee onboarding, leave management, HR service requests, and burnout risk detection — with automated team routing, SLA tracking, and AI-powered query resolution.


Why this app

HR operations are still heavily manual in most organizations — requests over email, approvals on WhatsApp, spreadsheets everywhere. I wanted to build a working intake-to-resolution HR platform and go one step further by predicting burnout before it becomes attrition.


Architecture

3 custom tables:

  • hr_employee_profile — department, designation, leave balance, burnout risk score
  • hr_service_request — auto-numbered cases, request type, 48-hour SLA, auto-routing
  • hr_leave_request — manager approval workflow, leave type, balance deduction

Plus 3 roles, 10 ACLs, 5 Business Rules, and 1 Scheduled Script for daily burnout scoring.
